Job summary

Private Advertiser in Malaysia is seeking a Sales Operations Executive to manage the end-to-end order-to-delivery cycle within our manufacturing and ERP environment. You will coordinate orders, maintain customer records, and support production and logistics with accurate data and timely communication.

The role requires ERP proficiency, at least 3 years in sales operations or supply chain, and fluency in English and Bahasa Malaysia.

Qualifications

• Diploma or Bachelor's degree in relevant fields.
• Minimum 3 years in sales operations, customer service, or supply chain in manufacturing.
• Hands-on ERP experience; ERP implementation experience is a plus.
• Exposure to export docs and international shipping preferred.
• Fluent in English and Bahasa Malaysia (written and spoken).

Responsibilities

• Handle full order-to-delivery workflow: process POs, issue confirmations, and coordinate delivery.
• Enter and maintain sales orders, customer profiles, and pricing in ERP.
• Resolve amendments, cancellations, and delivery discrepancies proactively.
• Serve as first contact for customer inquiries on status, schedules, and docs.
• Build relationships with customers and support Sales team with updates.
• Coordinate with Production, Planning, Purchasing, Warehouse, and Logistics.
• Track timelines, monitor delivery schedules, escalate bottlenecks.
• Prepare shipping docs: DOs, packing lists, invoices, certificates; ensure audit compliance.
• Act as ERP key user; participate in ERP rollout, process mapping, UAT, SOPs, training.

Key Responsibilities

Handle the full order-to-delivery workflow, including processing customer purchase orders (POs), issuing order confirmations, and coordinating delivery commitments.

Enter and maintain accurate sales orders, customer profiles, and pricing information within the ERP system.

Resolve order amendments, cancellations, and delivery discrepancies proactively.

Customer Service & Communication:

Act as the primary point of contact for customer inquiries regarding order status, delivery schedules, and documentation.

Build strong working relationships with customers and support the internal Sales team with operational updates.

Production & Logistics Coordination:

Work closely with Production, Planning, Purchasing, Warehouse, and Logistics teams to ensure timely order fulfillment.

Track production timelines, monitor delivery schedules, and escalate potential material or capacity bottlenecks.

Shipping & Documentation:

Prepare shipping and export documentation, including Delivery Orders, Packing Lists, Commercial Invoices, and required certificates.

Ensure all order and shipping records comply with internal audit standards.

ERP & Process Optimization:

Act as a Key User for order management modules within the ERP system.

Participate in ERP rollout tasks, such as process mapping, User Acceptance Testing (UAT), data validation, SOP development, and end-user training.

Identify opportunities to streamline workflows and improve overall order processing efficiency.

Requirements & Qualifications

Education: Diploma or Bachelor’s Degree in Supply Chain Management, Business Administration, Logistics, Engineering, or a related field.

Work Experience:

Minimum 3 years of experience in sales operations, customer service, or supply chain coordination within a manufacturing environment.

Mandatory: Hands-on experience using ERP systems. (Experience as an ERP Power User or involvement in ERP implementation projects is a major advantage).

Exposure to export documentation and international shipping processes is preferred.

Language Requirements (Mandatory):

Fluent in English and Bahasa Malaysia (spoken and written).
