Job summary

Private Advertiser is seeking an Operations & Supply Chain Executive to oversee warehouse operations, inventory control, and logistics coordination across retail, wholesale, and e-commerce channels. The role ensures inventory accuracy and on-time delivery while supporting sales growth.

Ideal candidates have a diploma or degree in logistics or related field, at least two years' experience, working knowledge of ERP systems and Excel, strong organization, and fluency in English and Bahasa Malaysia,

Qualifications

• Minimum 2 years in warehouse, inventory, logistics, or order fulfilment.
• Familiar with inventory/ERP systems and Excel.
• Good organizational, coordination, and problem-solving skills.
• Detail-oriented and capable of independent work in a fast-paced environment.
• Proficient in English and Bahasa Malaysia; Mandarin required for suppliers/partners.

Responsibilities

• Maintain accurate inventory records and monitor stock movements.
• Oversee receiving, put-away, picking, packing, and dispatch.
• Coordinate daily deliveries to dealers, customers, and retail outlets.
• Reconcile stock discrepancies and rotate stock properly.
• Plan inbound shipments and ensure timely order fulfilment.
• Prepare weekly/monthly inventory and fulfillment reports.
• Identify inefficiencies and support SOP improvements and cost-saving initiatives.

Job description

The Operations & Supply Chain Executive is responsible for ensuring the smooth execution of warehouse operations, inventory management, logistics coordination, sales order fulfilment, and operational support activities. The role plays a critical part in maintaining inventory accuracy, optimizing delivery performance, supporting sales growth, and ensuring operational efficiency across retail, wholesale, and e-commerce channels.

A) Warehouse & Supply Chain Executive

1. Inventory Control

• Maintain accurate inventory records in the system.
• Monitor stock movements, transfers, and adjustments.
• Conduct cycle counts and periodic stock takes.
• Investigate and resolve stock discrepancies promptly.
• Ensure proper stock rotation and storage practices.

2. Warehouse Operations

• Oversee receiving, put-away, picking, packing, and dispatch activities.
• Ensure warehouse organization and housekeeping standards are maintained.
• Monitor slow-moving, aging, and obsolete inventory.
• Ensure compliance with company asset and inventory control procedures.

1. Delivery Management

• Coordinate daily deliveries to dealers, customers and retail outlets etc.
• Liaise with transporters, couriers, and 3PL providers.
• Monitor delivery schedules and service performance.
• Resolve delivery-related issues and complaints.

2. Supply Chain Coordination

• Coordinate stock replenishment between warehouse and retail outlets.
• Support inbound shipment planning and receiving activities.
• Ensure timely fulfillment of wholesale, retail etc orders.

1. Order Processing

• Process sales orders accurately and timely.
• Coordinate order fulfilment and shipment arrangements.
• Verify product availability and delivery commitments.
• Monitor pending orders and backorders.
• Assist sales team with stock availability information.
• Prepare reports related to sales orders and fulfilment status.
• Support promotional and event stock preparation activities.

1. Reporting

• Prepare weekly and monthly inventory reports.
• Monitor inventory accuracy and stock aging reports.
• Track logistics costs and delivery performance.
• Support management reporting and operational analysis.

2. Process Improvement

• Identify operational inefficiencies and recommend improvements.
• Support implementation of SOPs and process enhancements.
• Assist in cost-saving initiatives and productivity improvement projects.

Job Requirements

Diploma or Degree in Logistics, Supply Chain, Business Administration, or a related field.

Minimum 2 years of relevant experience in warehouse, inventory, logistics, or order fulfilment.

Familiar with inventory/ERP systems and Microsoft Excel.

Good organizational, coordination, and problem-solving skills.

Detail-oriented and able to work independently in a fast-paced environment.

Good command of English and Bahasa Malaysia. Mandarin is required to communicate with Mandarin-speaking suppliers and business partners.
