Job summary

Jobstreet Malaysia in Puncak Alam, Selangor, is seeking a proactive Sales Operations Executive to coordinate order-to-delivery processes within our Supply Chain team. You will ensure accurate documentation, maintain ERP data, and act as the central link between sales, production, warehouse, logistics, and finance.

The role emphasizes cross-functional collaboration, process optimization, and delivering exceptional customer service.

Qualifications

• Diploma or Bachelor's Degree in Supply Chain Management, Business Administration, Logistics, Engineering, or related field.
• Minimum 3 years of experience in sales operations, customer service, or supply chain coordination within a manufacturing environment.
• Hands-on ERP experience; ERP Power User or involvement in ERP implementation is a plus.
• Exposure to export documentation and international shipping processes is preferred.
• Fluent in English and Bahasa Malaysia (written and spoken).

Responsibilities

• Sales Order Management: Handle the full order-to-delivery workflow, including processing customer purchase orders (POs), issuing order confirmations, and coordinating delivery commitments.
• Customer Service & Communication: Act as the primary point of contact for customer inquiries regarding order status, delivery schedules, and documentation.
• Production & Logistics Coordination: Work closely with Production, Planning, Purchasing, Warehouse, and Logistics teams to ensure timely order fulfillment.
• Shipping & Documentation: Prepare shipping and export documentation, including Delivery Orders, Packing Lists, Commercial Invoices, and required certificates.
• ERP & Process Optimization: Act as a Key User for order management modules within the ERP system; participate in ERP rollout tasks and process improvements.

Key Responsibilities

• Sales Order Management:

  • Handle the full order-to-delivery workflow, including processing customer purchase orders (POs), issuing order confirmations, and coordinating delivery commitments.

  • Enter and maintain accurate sales orders, customer profiles, and pricing information within the ERP system.

  • Resolve order amendments, cancellations, and delivery discrepancies proactively.

• Customer Service & Communication:

  • Act as the primary point of contact for customer inquiries regarding order status, delivery schedules, and documentation.

  • Build strong working relationships with customers and support the internal Sales team with operational updates.

• Production & Logistics Coordination:

  • Work closely with Production, Planning, Purchasing, Warehouse, and Logistics teams to ensure timely order fulfillment.

  • Track production timelines, monitor delivery schedules, and elevate potential material or capacity bottlenecks.

• Shipping & Documentation:

  • Prepare shipping and export documentation, including Delivery Orders, Packing Lists, Commercial Invoices, and required certificates.

  • Ensure all order and shipping records comply with internal audit standards.

• ERP & Process Optimization:

  • Act as a Key User for order management modules within the ERP system.

  • Participate in ERP rollout tasks, such as process mapping, User Acceptance Testing (UAT), data validation, SOP development, and end-user training.

  • Identify opportunities to streamline workflows and improve overall order processing efficiency.

Requirements & Qualifications

• Education: Diploma or Bachelor’s Degree in Supply Chain Management, Business Administration, Logistics, Engineering, or a related field.

• Work Experience:

  • Minimum 3 years of experience in sales operations, customer service, or supply chain coordination within a manufacturing environment.

  • Mandatory: Hands-on experience using ERP systems. (Experience as an ERP Power User or involvement in ERP implementation projects is a major advantage).

  • Exposure to export documentation and international shipping processes is preferred.

• Language Requirements (Mandatory):

  • Fluent in English and Bahasa Malaysia (spoken and written).
