SALES COORDINATOR / SALES OPERATIONS EXECUTIVE
Job Summary
We are looking for a Sales Coordinator / Sales Operations Executive to support and coordinate the day-to-day operations of the Sales Department. This role will be primarily office-based and responsible for monitoring sales leads, tracking sales activities and pipeline progress, coordinating sales events and activities, preparing sales reports, and ensuring that the overall sales process runs smoothly and efficiently.
The successful candidate will work closely with the Sales Team and Management to monitor performance, follow up on sales opportunities, maintain accurate sales records, and provide administrative and operational support to achieve the company’s sales objectives.
Key Responsibilities
- Record and maintain all incoming sales leads in the relevant system or database.
- Assign leads to the appropriate Sales personnel and track their status.
- Monitor the sales pipeline from initial enquiry through to conversion.
- Maintain accurate and up-to-date information on active, pending, converted, and lost leads.
- Highlight overdue follow-ups or inactive opportunities to the Sales Team or Management.
2. Sales Reporting & Performance Tracking
- Prepare daily, weekly, and monthly sales reports.
- Compile data on leads, conversions, sales activities, targets, and KPIs.
- Track individual and overall Sales Team performance against assigned targets.
- Provide Management with clear updates on sales progress, pipeline status, and key issues.
- Maintain accurate sales records and supporting documentation.
3. Sales Event & Activity Planning
- Assist in planning and organizing sales events, roadshows, exhibitions, campaigns, meetings, and other sales activities.
- Coordinate event schedules, materials, manpower requirements, and other operational arrangements.
- Ensure sales-related activities are properly documented and tracked.
- Compile leads generated from events and ensure they are entered into the sales pipeline for further action.
- Coordinate sales meetings, briefings, and internal sales activities.
- Prepare sales presentations, meeting materials, quotations, proposals, and other documents when required.
- Maintain proper filing of sales records, customer information, and related documents.
- Follow up on outstanding administrative tasks and action items within the Sales Department.
5. Sales Process & System Management
- Ensure sales activities and lead information are updated according to the company’s procedures.
- Maintain and update CRM, sales tracking systems, or other relevant platforms.
- Identify gaps or delays in the sales process and report them to Management.
- Assist in implementing improvements to sales workflows, tracking methods, and reporting processes.
6. Cross-Department Coordination
- Liaise with other departments on matters related to sales activities and customer requirements.
- Provide relevant sales information and updates to Management and other departments when required.
- Support the smooth flow of information between the Sales Team and internal stakeholders.
7. General Duties
- Maintain confidentiality of company, customer, and sales information.
- Ensure assigned tasks are completed accurately and within the required timeline.
- Perform other duties related to Sales Operations as assigned by Management.
Requirements
- Diploma or Bachelor’s Degree in Business Administration, Sales, Marketing, Management, or a related field.
- At least 1-2 years of experience in sales coordination, sales administration, sales operations, business development support, or a related role.
- Fresh graduates with strong organizational and communication skills may also be considered.
- Good understanding of sales processes, lead management, and sales pipeline monitoring.
- Strong organizational and coordination skills with good attention to detail.
- Good communication and interpersonal skills.
- Able to manage multiple tasks, priorities, and deadlines effectively.
- Proficient in Microsoft Office, particularly Excel and PowerPoint.
- Experience with CRM, sales management systems, or other business management systems will be an advantage.
- Able to work independently as well as collaboratively with the Sales Team.
- Proactive, responsible, organized, and results-oriented.
