Job summary

TOP ACE CONCEPT SDN BHD in Kepong, Kuala Lumpur, invites a Procurement professional to join as a Purchasing & Sourcing Executive. You will source suppliers globally, negotiate prices, and manage POs and supplier performance to support growth.

You will collaborate with Sales, Merchandising, Warehouse, Finance and Logistics to ensure on-time delivery and competitive pricing; strong English and Mandarin are preferred.

Qualifications

• Diploma/ Degree in Purchasing, Supply Chain, Business Administration or a related field.
• 2–5 years of experience in purchasing, procurement or sourcing.
• Experience in China sourcing / overseas supplier management is a plus.
• Experience in home textile, household products, retail or trading is a plus.
• Good negotiation and supplier management skills.
• Understand purchasing, sourcing and supply chain processes.
• Proficient in English and Mandarin; Mandarin preferred for China suppliers.
• Proficient in Microsoft Excel; SQL systems is an advantage.

Responsibilities

• Source and develop new suppliers and factories, locally and overseas, especially from China.
• Conduct supplier research and obtain quotations, samples and product specifications.
• Compare suppliers based on price, quality, MOQ, lead time, capacity and service.
• Negotiate prices, MOQ, payment terms, delivery lead time and other terms.
• Manage the purchasing process from quotation to delivery.
• Prepare and issue Purchase Orders (PO) and follow up supplier confirmation.
• Monitor production progress and ensure timely delivery.
• Maintain good relationships with existing suppliers and factories.
• Monitor supplier performance in terms of quality, price and delivery.
• Work with Sales, Merchandising, Warehouse, Finance and Logistics to meet requirements.
• Monitor inventory to avoid stock shortages and excess inventory.
• Identify alternate suppliers and cost-saving opportunities.
• Maintain purchasing records and supplier information.

Job description

We are seeking a Purchasing & Sourcing Executive to join TOP ACE CONCEPT SDN BHD in Kepong, Kuala Lumpur.

This is a full-time position responsible for supplier sourcing, purchasing, price negotiation, purchase order management and supplier performance. The role will work closely with our Sales, Merchandising, Warehouse, Finance and Logistics teams to ensure products are sourced at competitive prices, meet our quality requirements and are delivered on time.

The successful candidate will play an important role in supporting our business growth through effective sourcing, cost control and supplier management.

Key Responsibilities

Source and develop new suppliers and factories, locally and overseas, especially from China.

Conduct supplier research and obtain quotations, samples and product specifications.

Compare suppliers based on price, quality, MOQ, lead time, capacity and service.

Negotiate prices, MOQ, payment terms, delivery lead time and other commercial terms.

Manage the purchasing process from quotation and purchase order through to delivery.

Prepare and issue Purchase Orders (PO) accurately and follow up supplier confirmation.

Monitor production progress and ensure suppliers meet agreed delivery schedules.

Maintain and develop good relationships with existing suppliers and factories.

Monitor supplier performance in terms of quality, price and delivery.

Follow up on quality issues, shortages, delays and other supplier-related problems.

Work closely with Sales, Merchandising, Warehouse, Finance and Logistics teams to ensure purchasing requirements are met.

Monitor inventory and purchasing requirements to avoid stock shortages and excessive inventory.

Identify alternative suppliers and cost-saving opportunities.

Maintain proper purchasing records, supplier information, quotations and related documentation.

Assist in supplier evaluation and maintain the Approved Supplier List.

Ensure purchasing activities comply with company procedures and requirements.

Support continuous improvement of purchasing and sourcing processes.

What We’re Looking For

Diploma / Degree in Purchasing, Supply Chain, Business Administration or a related field.

2–5 years of experience in purchasing, procurement or sourcing.

Experience in China sourcing / overseas supplier management will be an advantage.

Experience in home textile, household products, retail or trading will be an advantage.

Strong negotiation and supplier management skills.

Good understanding of purchasing, sourcing and supply chain processes.

Good command of English and Mandarin. Mandarin is preferred for communication with China suppliers.

Proficient in Microsoft Office, especially Excel.

Experience using SQL systems is an advantage.

Strong analytical, communication and problem-solving skills.

Able to work independently, follow up proactively and manage multiple tasks.

Detail-oriented with good documentation and organizational skills.

Positive attitude and willingness to learn and take responsibility.
