GST Fine Foods Sdn. Bhd is seeking an Import Purchasing Executive in Malaysia to manage procurement and coordination of imported products. You will handle purchase orders, supplier communications, import documentation and logistics to ensure timely and cost-effective delivery of goods.
You will prepare PO’s, monitor orders, check documents, and coordinate with forwarders for customs clearance and delivery. The role requires 2+ years in purchasing/import coordination and strong Excel/ERP skills.
The Import Purchasing Executive manages the procurement and coordination of imported products, overseeing purchase orders, supplier communications, import documentation, and logistics arrangements to ensure timely and cost-effective delivery of goods.
Prepare purchase orders and follow up with overseas suppliers on pricing, quantities, production, and shipment schedules.
Monitor open orders, estimated arrival dates, and shipment changes. Update the relevant teams promptly when supply may be delayed.
Check import documents, including invoices, packing lists, bills of lading or air waybills, health certificates, and other product documents where applicable.
Coordinate with forwarders and relevant parties on shipping, customs clearance, and delivery arrangements.
Work with the inventory team to review stock movement, forecast needs, and plan replenishment for imported products.
Compare supplier quotations and prepare landed cost calculations for final purchase decisions.
Follow up on product samples, quality issues, shortages, and supplier claims.
Maintain accurate purchase, shipment, product, and supplier records in system.
Communicate with branch teams in Penang, Rawang, and Langkawi to support product availability and timely deliveries.
Prepare purchasing monthly reports.
Diploma or degree in Business, Supply Chain, Logistics, or a related field; relevant work experience is also welcome.
At least 2 years of experience in purchasing, import coordination, or supply chain operations preferred.
Experience with imported food, frozen products, or seafood is an advantage.
Familiarity with shipping documents, forwarders, and landed cost calculations.
Comfortable using Excel and an ERP system; SAP Business One experience is an advantage.
Good communication and follow-up skills, with strong attention to detail.
Able to communicate in English and Bahasa Malaysia. Mandarin is an advantage for communication with relevant suppliers.
