Job summary

OVIVO MALAYSIA SDN. BHD. is seeking a Purchasing Executive to manage end-to-end procurement activities from supplier sourcing to delivery.

The role emphasizes timely purchase orders, price negotiations, and close cross-functional coordination with internal teams. The ideal candidate holds a Diploma in Business Administration with at least 3 years of relevant experience, demonstrates strong negotiation and analytical skills, and can work under pressure while handling multiple projects.

Qualifications

• Ability to negotiate, analyze quotes and terms effectively.
• Good communication and liaison skills with internal teams and suppliers.
• Familiarity with shipping terms and import arrangements.

Responsibilities

• Handle procurement activities including sourcing, quotation inquiry, price negotiation, purchase order confirmation, delivery arrangement and goods received.
• Source new potential suppliers and manage relationships with existing suppliers.
• Provide purchasing support to relevant departments according to specification and timeline.
• Negotiate and evaluate pricing, delivery terms, incoterms and competitive options.
• Perform PO issuance after finalizing commercial and technical terms.
• Ensure all POs are issued and acknowledged per authorization guidelines.
• Track orders and ensure on-time deliveries.
• Provide purchasing reports and weekly updates on material delivery status.
• Liaise with suppliers on delivery arrangements including local delivery and import shipments if required.

Source new potential suppliers and manage good relationships with existing suppliers

Work closely with relevant departments and stakeholders to provide purchasing support according to specification and within agreed timeline

Negotiate and evaluate pricing, delivery terms, incoterms and competitive options to meet company needs

Perform PO issuance after finalizing commercial and technical terms

Ensure all Purchase Orders are issued and acknowledged according to company authorization guidelines

Track orders and ensure deliveries are on time

Provide administrative support in day-to-day purchasing activities, updates and documentation

Liaise with suppliers on delivery arrangements including local delivery and import shipment if required

Provide purchasing reports and weekly updates on material pending delivery

Job Requirements:

Diploma in Business Administration or related field

At least 3 years of relevant working experience

Pro-active attitude, responsive, able to multitask well and eye for details

Ability to exercise initiative, work independently and under pressure

Good analytical, negotiation and communication skills

Familiar with shipping terms and arrangements

Positive thinking person with a good working attitude
