Job summary

ACTER TECHNOLOGY MALAYSIA SDN. BHD. is seeking a detail-oriented Purchasing Assistant to join our construction project management team in Kuala Lumpur.

You will support procurement operations, process orders, and liaise with suppliers to ensure on-time delivery and cost-efficiency. The role requires strong organizational skills, basic commerce knowledge, and proficiency with Excel. Mandarin-speaking candidates are preferred due to communication needs.

Qualifications

• Secondary or higher qualification in commerce, business administration or related field.
• Experience in purchasing or procurement support, ideally within construction.
• Strong organisational and time-management abilities.
• Proficiency in Microsoft Excel and data management.
• Attention to detail and accuracy when processing documentation.
• Team-oriented with ability to take direction from senior staff.
• Basic understanding of construction materials and procurement practices.

Responsibilities

• Prepare and process purchase orders for construction materials, equipment and services.
• Sourcing and comparing quotations to ensure competitive pricing.
• Liaise with suppliers to negotiate delivery schedules and terms.
• Maintain records of purchase orders, invoices and delivery documentation.
• Monitor inventory levels and alert when stock needs replenishment.
• Assist with receiving and inspecting deliveries against purchase orders.
• Process supplier invoices and support payment procedures.
• Maintain supplier databases and contact information.
• Support cost control by tracking purchasing expenses against budgets.
• Liaise between project teams and suppliers to resolve issues.

About the role

ACTER TECHNOLOGY MALAYSIA SDN. BHD. is seeking a detail-oriented and organised Purchasing Assistant to join our construction project management team. This is a full-time position based in Kuala Lumpur, offering an excellent opportunity to develop your procurement skills within a dynamic construction environment. As a Purchasing Assistant, you will play a vital role in supporting the procurement operations that keep our projects running smoothly and efficiently. You will work closely with senior purchasing staff and project managers to ensure materials, equipment and services are sourced cost-effectively and delivered on schedule to meet project deadlines.

Key responsibilities

• Preparing and processing purchase orders for construction materials, equipment and services required for ongoing projects
• Sourcing and comparing quotations from suppliers to ensure competitive pricing and value for money
• Liaising with suppliers and vendors to negotiate delivery schedules, terms and conditions
• Maintaining accurate records of purchase orders, invoices and delivery documentation
• Monitoring inventory levels and alerting senior staff when stock requires replenishment
• Assisting with the receipt and inspection of deliveries, verifying contents against purchase orders
• Processing supplier invoices and supporting payment proceduresMaintaining supplier databases and contact information
• Supporting cost control initiatives by tracking purchasing expenses against project budgets
• Liaising between project teams and suppliers to resolve any ordering or delivery issues

What we're looking for

• Secondary or higher qualification in commerce, business administration or a related field
• Proven experience in a purchasing or procurement support role, ideally within the construction industry
• Strong organisational and time management skills with the ability to manage multiple orders simultaneously
• Proficiency in Microsoft Office applications, particularly Excel for data management and record-keeping
• Attention to detail and accuracy when processing documentation and managing record
• Ability to work effectively in a team environment and respond positively to direction from senior staff
• Basic understanding of construction materials, equipment and procurement practices

Mandarin-speaking candidates are preferred due to the communication requirements of the role.
