Qualifications

Responsibilities

• Drive project kickoff activities and interpret client requirements.
• Create and update Gantt charts and status reports.

• Lead weekly/monthly project meetings and address issues.

• Oversee quality control of project work to prevent delays.

Job description

Project and Order Fullfillment Coordinator

●Drive and guide the project team at project kickoff by correctly interpreting client requirements, listing required materials, building the project timeline, and delegating tasks to team members.

●Generate and update the project Gantt Chart / Status Report by collecting, analysing, and summarising task allocation from each team member, and recommending corrective actions as required.

●Monitor and oversee the project schedule by reviewing progress, coordinating team members’ activities and tasks, and resolving issues that risk delaying the project.

●Conduct project meetings with team members weekly/monthly or as needed to review status and address pending issues.

●Compile and submit project status reports to Management on a weekly/monthly basis or as needed, flagging any risk of delay to delivery.

●Perform overall quality control of project work (schedule, plans, personnel performance) to prevent delivery delays.

●Attend to client inquiries, interpret their needs, represent the company in the field, and prepare feasibility reports as required.

●Act as the primary point of contact for the project team and other stakeholders.

B. ORDER FULFILLMENT

●Coordinate the end‑to‑end order fulfillment cycle — from Purchase Order (PO) receipt through material dispatch — to ensure accuracy and timeliness.

●Liaise with the warehouse/logistics function to schedule and confirm timely dispatch of materials and finished items.

●Verify that items and quantities received against each PO fulfill the client's stated requirements before releasing for project use.

●Monitor inventory/stock availability against project material requirements and flag shortfalls early to Procurement.

●Manage order discrepancies, returns, and exceptions, and expedite resolution with Procurement, sub‑contractors, or suppliers.

●Maintain order status visibility for internal stakeholders and, where required, communicate order/delivery status directly to clients.

C. PROCUREMENT & DOCUMENTATION

●Liaise with the internal Procurement Department to expedite requisition of materials/items, or with sub‑contractors for outsourced tasks, to ensure on‑time project delivery.

●Receive Purchase Orders (PO) from Procurement and verify that items acquired fulfil client requirements.

●Prepare Work Orders (WO) and Bills of Material (BOM).

●Ensure all documentation and work procedures strictly comply with Company policy and customer requirements for quality of work.

D. GENERAL

Undertake other related tasks and duties as assigned by superior.

JOB REQUIREMENTS

EDUCATION

Bachelor's Degree in any of the following discplines : Electrical/Electronic, Mechanical, or Mechatronics or Business Administration.

EXPERIENCE

1–2 years in project coordination, order fulfillment, or supply chain within a related field.

CERTIFICATIONS

PMP Certification an advantage; Supply Chain certification an advantage.

TECHNICAL SKILLS

Proficient in MS Office and project management tools (e.g. Microsoft Project). Familiarity with ERP/order management systems. Experience with SOLIDWORKS an added advantage.

SOFT SKILLS

Strong stakeholder management and communication; multitasking; problem-solving under schedule pressure.

LANGUAGE

Proficiency in English and Mandarin required to effectively communicate with Mandarin-speaking clients; Bahasa Malaysia an advantage.

OTHER

Willingness to travel for vendor site visits; valid driving license an advantage.
