Job summary

Topmix Resources Sdn. Bhd. is seeking a Procurement Assistant to support sourcing, purchasing, and supplier coordination. You will process POs, request supplier quotations, and maintain procurement records, while ensuring adherence to company policies and procedures.

The role involves monitoring inventory, resolving delivery issues, and assisting with stocktakes and supplier evaluations. Fresh graduates may be considered for entry-level positions.

Qualifications

• Diploma/Degree or equivalent required.
• Proficiency in Microsoft Office and purchasing software.
• Strong communication and negotiation skills.
• Good analytical and strategic thinking abilities.

Responsibilities

• Assist in sourcing and purchasing goods and services.
• Prepare and process purchase orders (POs).
• Request and compare quotations from suppliers.
• Maintain supplier databases and procurement records.
• Follow up with suppliers on order status and delivery schedules.
• Coordinate with internal departments to understand purchasing requirements.
• Verify invoices and delivery notes against purchase orders.
• Monitor inventory levels and assist with stock replenishment.
• Resolve issues related to delayed deliveries or incorrect shipments.
• Ensure procurement activities comply with company policies and procedures.
• Prepare procurement reports and documentation as required.
• Assist with quarterly stocktakes, including physical stock counting, reconciliation, and investigation of discrepancies.
• Support the QC team in handling material quality issues, rejected goods, supplier corrective actions, replacements, and credit notes.
• Coordinate resolution of delayed deliveries, shortages, damaged goods, and other supply issues.
• Monitor supplier performance in terms of pricing, quality, delivery, responsiveness, and service.
• Prepare procurement records and supplier evaluations.
