Job summary

Mattel Malaysia is seeking a capable Sample Order & Logistics Coordinator to support sample management, ETD planning, and cross-functional coordination. You will review sample availability, commit ETDs, coordinate collection and shipment, and maintain accurate records in the Sample Tracking System, collaborating with production and engineering teams.

Qualifications include a Bachelor's or Diploma in Business Studies or related field, 1–2 years of relevant experience, proficiency in Microsoft

Responsibilities

• Sample Order Management: Review sample availability based on requested quantity and required delivery timeline.
• ETD Management: Provide and commit ETD to requestors; new SKUs within 2 weeks after PS release; fresh samples within 2 weeks after production completion.
• Respond to inquiries from internal stakeholders and global customers.
• Record all sample orders accurately in the Sample Tracking System.
• Sample Collection: Coordinate with Production to ensure timely sample preparation and documentation.
• Sample Shipment: Prepare, pack, and coordinate shipping; dispatch samples per committed ETD and update AWB details.
• Support Product Engineering with FEP sample shipment arrangements.
• Reporting: Prepare and distribute Weekly Salvage and Weekly GME Summary Reports; generate Work Center Report on 1st/2nd working day weekly.
• Continuous Improvement: Drive Kaizen initiatives to enhance planning efficiency and operational excellence; participate in special projects and events.

Job Description

1. Sample Order Management

Sample ETD Management

• Review sample availability based on requested quantity and required delivery timeline.
• Provide and commit the Estimated Time of Delivery (ETD) to requestors:
  • New SKUs: within 2 weeks after Product Specification (PS) release.
  • Fresh production samples: within 2 weeks after production completion.
• Respond promptly to inquiries from internal stakeholders and global customers.
• Accurately record all sample orders in the Sample Tracking System.

Sample Collection

• Coordinate with the Production team to ensure timely sample preparation.
• Collect samples according to schedule and ensure all internal transfer documentation is completed accurately.
• Update sample collection status in the Sample Tracking System.

Sample Shipment

• Prepare and pack samples for shipment.
• Coordinate shipping arrangements to ensure on-time delivery.
• Dispatch samples according to the committed ETD.
• Provide Airway Bill (AWB) details to requestors and update shipment information in the Sample Tracking System.
• Support the Product Engineering Department with FEP sample shipment arrangements.

2. Reporting

• Prepare and distribute the Weekly Salvage Report.
• Prepare and distribute the Weekly GME Summary Report.
• Generate the Work Center Report on the 1st and 2nd working day of each week.

3. Continuous Improvement & Additional Responsibilities

• Drive continuous improvement initiatives through Kaizen to enhance planning efficiency and operational excellence.
• Support special projects assigned by the supervisor.
• Participate in company events, activities, and cross-functional initiatives as required.
• Perform any other duties and responsibilities assigned by the company from time to time.
