About the Role
We are looking for an Operations & Purchasing Executive to support our day-to-day business operations, with a focus on purchasing, invoicing, inventory management, vendor coordination and operational administration.
This role is suitable for someone who is organised, detail-oriented and comfortable working with Excel, purchasing documentation, inventory records and multiple internal departments.
Key Responsibilities
- Prepare and issue customer invoices accurately and on time.
- Maintain and update customer master data and ensure information is accurate.
- Track and reconcile discrepancies between shipping records and the invoice register.
- Manage daily purchasing activities, including preparing and processing Purchase Orders (POs) according to company procedures.
- Maintain the PO Master List in Excel and the accounting system, ensuring both records are accurate and consistent.
- Prepare and submit E-Invoices to LHDN within the required timeline.
- Monitor monthly Goods Received Notes (GRN) and follow up on outstanding items with the Sales team.
- Monitor New Vendor Questionnaires and assist with vendor evaluation and re-evaluation.
- Assist with stock counts and prepare Stock Count Reports for management.
- Monitor inventory levels and support initiatives to improve inventory efficiency and minimize costs.
- Handle quotations, proposals and contract-related documentation.
- Coordinate with internal departments regarding requirements, stock availability and delivery lead times.
- Liaise with relevant teams to ensure customer requirements are fulfilled on time.
- Identify operational issues and recommend improvements to the supervisor or HOD.
- Prepare operational and management reports when required.
- Perform other duties and responsibilities assigned by management.
Requirements
- Degree in Business Administration, Supply Chain Management, Operations Management or a related discipline.
- Preferably 2–3 years of relevant working experience in operations, purchasing, procurement, inventory or administration.
- Good understanding of purchasing and inventory management processes.
- Good knowledge of Microsoft Office, particularly Microsoft Excel.
- Strong attention to detail with good numerical and analytical skills.
- Good negotiation, communication and interpersonal skills.
- Good problem-solving and follow-up skills.
- Able to work independently and manage multiple tasks.
- Well-organised, responsible and detail-oriented.
- Positive attitude with good coordination skills.
