is seeking an Operations Executive to manage end-to-end sea freight export shipments from booking to departure and final documentation, ensuring accuracy and on-time delivery. You will coordinate with shipping lines, overseas offices, freight forwarders, and customs brokers; prepare, verify and process documents (SI, HBL, MBL, Commercial Invoice, Packing List); monitor milestones; handle DG shipments; and resolve any issues to maintain smooth shipment
Manage end-to-end sea freight export shipments from booking confirmation through cargo departure and final documentation.
Coordinate booking requests and respond promptly to customer inquiries regarding shipment schedules, documentation, and export requirements.
Register and maintain shipment information accurately in the freight forwarding system (e.g., CargoWise One/CW1) in accordance with company SOPs.
Coordinate with shipping lines, overseas offices, freight forwarders, transport providers, warehouses, customs brokers, and other stakeholders to ensure smooth shipment execution.
Prepare, verify, and process export documentation including Shipping Instructions (SI), House Bill of Lading (HBL), Master Bill of Lading (MBL), Commercial Invoice, Packing List, Shipping Certificates, and other required documents.
Ensure timely submission of Advance Manifest, SOLAS/VGM declarations, export permits, and other regulatory requirements.
Monitor shipment milestones and proactively follow up on booking confirmations, vessel schedules, cargo readiness, container movements, and sailing schedules.
Coordinate dangerous goods (DG) shipments by ensuring all documentation and carrier approvals are completed in compliance with regulations.
Issue pre-alert documentation to overseas offices and customers upon vessel departure.
Handle shipment irregularities such as rolled cargo, shipment delays, cargo shortages, damages, and misrouted shipments, escalating issues where necessary.
Coordinate cargo insurance and claims with customers, surveyors, carriers, and overseas offices when required.
Verify shipment costs, vendor invoices, and intercompany charges, and resolve billing discrepancies in a timely manner.
Diploma or Bachelor's Degree in Logistics, Supply Chain Management, Business Administration, or a related discipline.
Minimum 2–5 years of experience in Sea Freight Export Operations within a freight forwarding or logistics company.
Strong knowledge of international sea freight export processes and documentation.
Familiarity with Bills of Lading, Shipping Instructions, Advance Manifest, SOLAS/VGM requirements, export permits, and customs procedures.
Experience coordinating with shipping lines, overseas agents, transport providers, customs brokers, and warehouse operators.
Experience using CargoWise One (CW1) or other freight forwarding systems is an added advantage.
Proficient in Microsoft Office applications, especially Excel and Outlook.
Strong communication, coordination, and problem-solving skills.
Able to work independently in a fast-paced environment while managing multiple shipments and meeting deadlines.
