Job summary

KASE INTERNATIONAL SDN. BHD. in Penang seeks an Operations Executive for Ocean Freight Forwarding to coordinate ocean shipments, liaise with clients and partners, and ensure smooth operations from booking to delivery.

You will handle documentation, track shipments, provide status updates, and contribute to process improvements while maintaining compliance with international regulations.

Qualifications

• Experience in ocean export/import operations or freight forwarding.
• Knowledge of international shipping procedures and customs regulations.
• Excellent organisational and time management skills.
• Proficiency in Microsoft Office.
• Good communication skills with international partners.
• Diploma or degree in logistics or related field preferred.

Responsibilities

• Manage ocean export/import shipments from booking to delivery.
• Liaise with clients, arrange space bookings, confirm details.
• Prepare and verify shipping documents including bills of lading, invoices, packing lists.
• Monitor shipment progress and provide status updates to clients.
• Coordinate with freight brokers and partners for clearance.
• Manage shipment costing, quotations, and invoicing processes.
• Handle customer enquiries and resolve operational issues promptly.
• Maintain accurate records and ensure compliance with regulations.
• Contribute to continuous improvement of processes.

Operations Executive - Ocean Freight Forwarding

You will play a crucial part in managing ocean operations, ensuring seamless coordination between clients, shipping partners, and internal teams. This position is fundamental to maintaining our reputation for reliability and excellence in the freight forwarding industry.

Key responsibilities

• Manage and coordinate ocean export/import shipments from initial booking through to final delivery, ensuring all documentation and procedures comply with international regulations
• Liaise with clients to obtain shipping instructions, arrange space bookings with shipping lines, and confirm shipment details
• Prepare and verify shipping documentation including bills of lading, commercial invoices, packing lists, and customs declarations
• Monitor shipment progress and provide timely updates to clients regarding departure, in-transit status, and arrival information
• Coordinate with freight consolidation teams, customs brokers, and logistics partners to ensure efficient cargo handling and clearance
• Manage shipment costing, prepare quotations, and ensure accurate billing and invoicing processes
• Handle customer enquiries and resolve operational issues promptly to maintain client satisfaction
• Maintain accurate records of shipments and ensure compliance with company procedures and international shipping regulations
• Contribute to continuous improvement of operational processes and efficiency standards

About you

Proven experience in ocean export/import operations, freight forwarding, or a related role within the shipping and logistics industry

Knowledge of international shipping procedures, documentation requirements, and customs regulations

Excellent organisational and time management skills with the ability to handle multiple shipments simultaneously

Proficiency in Microsoft Office applications

Good communication skills, both written and verbal, with the ability to liaise effectively with international partners

Attention to detail and accuracy in documentation and data entry

Problem-solving abilities and the capacity to work independently as well as collaboratively within a team

Diploma or degree in logistics, supply chain management, or a related field is preferred

English is required, additional languages such as Mandarin or Bahasa Malaysia is an advantage

Valid Sijil Kursus Ejen Kastam certificate is a plus point.
