Job summary

YGF Manufacturing is seeking an experienced Operations Coordinator to join our Selangor-based team in a full-time capacity. You will act as the backbone of daily operations, coordinating across departments and ensuring efficient consultancy delivery to our food manufacturing clients.

You will manage scheduling, admin tasks, vendor liaison, reports, and project databases while maintaining accuracy and proactive communication in a fast-paced environment.

Qualifications

• Experience as Administrative Assistant or Operations Coordinator in consultancy, manufacturing or similar.
• Strong organisational and time management skills with ability to manage multiple priorities and deadlines.
• Excellent written and verbal communication in English; Mandarin is a plus.

Responsibilities

• Coordinate and schedule consultancy projects, meetings and site visits for the team globally.
• Manage admin tasks including correspondence, documentation and record-keeping.
• Liaise between vendors and internal teams to ensure clear communication and project alignment.
• Prepare reports, proposals and presentations for consultancy deliverables.
• Maintain project databases and operational systems to track progress and milestones.
• Process invoices, purchase orders and expense reports per company procedures.
• Organise travel arrangements and accommodation for internal teams visiting vendor facilities.
• Support scheduling and coordination of training sessions and workshops for clients.
• Handle general reception duties and field enquiries from clients.
• Assist with event coordination and business development initiatives.

About the role

YGF Manufacturing is seeking an experienced Operations Coordinator to join our dynamic team in Selangor. This is a full-time position that plays a crucial operational role within our food manufacturing consultancy business. As Operations Coordinator, you will be the backbone of our daily operations, ensuring smooth coordination between departments and maintaining the efficiency of our consultancy services. Your attention to detail, organisational skills and proactive approach will be instrumental in supporting the successful delivery of our client projects and internal business functions.

What you'll be doing

• Coordinating and scheduling consultancy projects, meetings and site visits for our team across the food manufacturing sector globally
• Managing administrative tasks including correspondence, documentation and record-keeping for consultancy engagements
• Liaising between vendors and internal teams to ensure clear communication and project alignment
• Preparing reports, proposals and presentations to support consultancy deliverables
• Maintaining and updating project databases and operational systems to track progress and milestones
• Processing invoices, purchase orders and expense reports in compliance with company procedures
• Organising travel arrangements and accommodation for internal teams visiting vendor facilities
• Supporting the scheduling and coordination of training sessions and workshops for clients
• Handling general reception duties and fielding enquiries from prospective and existing clients
• Assisting with event coordination and business development initiatives

What we're looking for

• Proven experience working as an Administrative Assistant or Operations Coordinator, ideally within a consultancy, manufacturing, food or similar professional services environment
• Strong organisational and time management skills with the ability to manage multiple priorities and deadlines simultaneously
• Excellent written and verbal communication skills in English; proficiency in additional languages such as Mandarin is desirable
• Proficiency in Microsoft Office, Google Suite, Asana and other project management tools
• Experience or familiarity with no code automations to help improve processes
• A detail-oriented approach with strong accuracy in data entry and document management
• Proven ability to work both independently and collaboratively as part of a team
• Professional demeanour with strong interpersonal skills and a customer-focused mindset
• Basic understanding of food manufacturing processes or consultancy operations would be advantageous
• Flexibility to adapt to a fast-paced, dynamic working environment
