Job summary

Bottega Mediterranea Sdn Bhd is seeking an experienced Procurement & Logistics Manager to oversee the full import cycle from producer to warehouse. You will manage international sourcing, customs clearance, and freight/logistics, and ensure timely supply to the business.

Lead a small team, define SOPs, control costs, and maintain accurate ERP data in Codemax. Strong analytical, autonomous, and multilingual abilities are preferred.

Qualifications

• Significant experience in procurement, supply chain, or operations (8+ years).
• Hands-on international sourcing, customs clearance, and freight/logistics.

Responsibilities

• Manage the full import cycle from producer to warehouse, including air/sea freight and cold/dry storage.
• Oversee relationships with local and overseas producers: negotiation, lead times, and order planning.
• Oversee customs clearance and coordinate with freight forwarders and shipping agents.
• Build and maintain reliable lead time data and set reorder points.
• Warehouse and inventory management: FEFO, expiry dates, waste reduction.
• Define minimum stock and par stock levels per item and ensure availability.
• Run accurate physical inventory and align with ERP.
• Supply and service the Bottega's channels; main channel coverage.
• Handle third-party price requests and issue quotes promptly.
• Lead, organize, and develop a team of 5; set roles and SOPs.
• Cost control: protect/improve margins; reduce logistics costs and waste.
• Own data integrity in Codemax: orders, receipts, costing, reporting; weekly founder reports.
• Authority to place/manage orders up to 50,000 RM per overall order; higher approvals with founder.

Job description

Manage the full import cycle, from producer to delivery into the warehouse (air and sea freight, dry and frozen).

Manage relationships with local and overseas producers: negotiation, lead times, and order planning.

Oversee customs clearance and coordinate with freight forwarders and shipping agents.

Build and maintain reliable lead time data, and set reorder points accordingly.

Warehouse and inventory management

Manage stock rotation (FEFO), expiry dates, and waste reduction.

Define and maintain minimum stock and par stock levels per item, based on lead times and consumption.

Ensure availability and timely supply to the Bottega's (service level is the priority).

Run accurate physical inventory counts and keep them aligned with the ERP.

Supply and service the Bottega's, which are the primary channel.

Handle third-party price requests: receive, analyze, and issue quotes promptly (a reactive function, not a sales-development role.

Team Management

Lead, organize, and develop a team of 5 (warehouse, purchasing, administration), and coordinate logistics with the driver.

Set clear roles, responsibilities, and standard operating procedures (SOPs).

Cost Control

Protect and, where possible, improve the company margin.

Control logistics and duty costs, and reduce waste, expired stock, and avoidable port or storage charges.

ERP (Codemax)

Own data integrity in Codemax: orders, goods receipts, costing, and reporting.

Produce clear weekly reporting for the founder.

Authority to place and manage orders up to 50,000 RM per overall order (covering all producers within the same order). Decisions above this threshold are agreed with the founder.

Requirements

Significant experience (ideally 8+ years) in procurement, supply chain, or operations, preferably in import/distribution, F&B, or FMCG.

Hands-on experience with international sourcing, customs clearance, and freight/logistics.

Strong inventory management skills: par stock, minimum stock, FEFO, and expiry control.

Proven cost control and margin awareness.

Experience leading a small team.

Comfortable with an ERP system (Codemax or similar) and able to learn new systems quickly.

Analytical, organized, hands-on, and able to work autonomously in a lean, growing company.

Fluent English; Bahasa Melayu and/or Mandarin are an advantage.
