SUSIN I TORK ASIA PACIFIC SDN BHD is seeking a versatile Supply Chain Administrator in Malaysia to support both operational and administrative tasks within a manufacturing setting. You will analyze production schedules, manage stock, process orders, generate invoices and DOs, and coordinate shipping and documentation.

A multi-tasker who understands both the operational side and the administrative side of a manufacturing business. Work with the International client/distributor/agent/suppliers, external & internal teams to meet and where possible exceed the company & customer's requirements/expectations.
Analyze production schedules to calculate raw material requirements.
Monitor and manage safety stock levels for raw materials and components.
Receive, verify, and process incoming customer purchase orders.
Evaluate all complete orders to maintain accurate and prepare documents for all inventory levels and place replenishment requests as required.
Generate and issue Delivery Orders and matching Commercial Invoices.
Manage & record all communication with team members and ensure compliance to timeframe and quality.
Arrange inbound freight for raw materials and outbound shipping for finished goods.
Prepare all necessary shipping manifests, packing lists, and transport documents.
Track shipments and resolve any transit delays or carrier issues independently.
Prepare all manifests and apply appropriate label to all boxes and ensure efficient transfer of all completed orders.
Inspect all stock items and report any damages to supervisors and stock shelves for all products.
Greet all customers on telephone and email to update knowledge on all orders and ensure compliance to all operating procedures.
Maintain accurate digital and physical records of inventory, invoices, and shipping files.
Prepare, compile, and update monthly company sales reports for management review.
Achieving relevant targets and KPI's.
Handle general administrative duties related to daily supply chain operations.
Manage general office upkeep, including ordering office stationery, pantry supplies, and utilities.
Handle incoming/outgoing office mail, couriers, and general phone or email inquiries.
Maintain organized digital and physical filing systems for company contracts, licenses, and operational documents.
Assist management with basic administrative tasks, scheduling, or coordinating visitor access.
Execute any ad-hoc jobs, tasks, or projects as assigned by the management to support business needs.
Comply with all health & safety requirements.
Comply with all other company policies & procedures.
Take responsibility for your personal development, identify training needs and request
appropriate training as required.
Delivery a seamless interface with internal and external customers as required.
To protect the customer from receiving defective product.
Conduct any other reasonable request associated with this job function or the smooth running of the department.

Candidate must possess at least Diploma/Degree in Supply Chain Management, Operations Management, Logistics, Business Administrative, or a related field.
3 to 5 years of experience in supply chain, operations, or office administration, preferably within a manufacturing environment.
Strong organizational skills with a proven trackability to manage office environments, supplies, and company documentation.
Ability to compile data and create clear, structured monthly sales reports.
Hands-on experience preparing Invoices, Delivery Orders (DOs), and standard order processing paperwork.
Advanced proficiency in Microsoft Excel (Pivot Tables, VLOOKUPs) and experience using ERP or accounting software.
High level of independence to prioritize daily factory needs against general office administrative tasks.
Able to work in a multi-tasking environment and perform under pressure.
Enthusiastic individual with excellent communication skills, able to fit into a close-knit team within an expanding business.
An understanding of the importance of data confidentiality.
Proactive, reactive, outgoing and willing to engage in office's activities.
Fluent in English (speaking, writing and communication).
Chinese language ability is highly welcomed and considered an advantage.
