About The Role

We are looking for a proactive and detail-oriented Operation Executive to coordinate local and international shipments, manage logistics documentation, and ensure timely delivery of goods to customers and business partners. The ideal candidate should have strong coordination skills, experience dealing with freight forwarders and couriers, and the ability to work in a fast-paced trading environment.

About The Role

We are looking for a proactive and detail-oriented Operation Executive to coordinate local and international shipments, manage logistics documentation, and ensure timely delivery of goods to customers and business partners. The ideal candidate should have strong coordination skills, experience dealing with freight forwarders and couriers, and the ability to work in a fast-paced trading environment.

Job Responsibilities

• Maintain shipment reports and update customers on vessel schedules, delays, customs clearance progress and haulage/delivery status.
• Check draft Bills of Lading (BL), Commercial Invoices and Packing Lists (CIPL), Form E where applicable, and other supporting documents for completeness and consistency.
• Follow up with customers and relevant parties to obtain missing documents, correct discrepancies and secure approvals before submission deadlines.
• Coordinate with the customs clearance and haulage teams to ensure shipments progress according to schedule.
• Ensure all required documents, including endorsed documents and signed delivery acknowledgements where applicable, are returned to customers promptly, with a record of dispatch or receipt.
• Daily Air, Ocean Export & Import coordination & corresponding with clients. service providers and internal team.
• Maintain organised shipment files and escalated delays, missing documents or operational issues to the supervisor.
• Perform and ad-hoc duties as assigned or required from time to time.

Job Requirements

• Candidates fluent in mandarin speaking is preferred as the role requires to deal with mandarin speaking clients and China Agent's.
• Preferably 1–2 years of relevant working experience in the logistics industry, freight forwarding, shipping/sea freight, air freight, transportation, or logistics customer service and documentation.
• Fresh graduates are encouraged to apply
• Minimum SPM; a diploma in Logistics, Business Administration or a related field is an advantage.
• Familiar with freight bookings, vessel schedules and import/export shipment processes.
• Able to check BL drafts, CIPL, Form E and supporting shipping documents.
• Proficient in email and maintaining shipment tracking reports.
• Detail-oriented, organised and able to manage multiple shipments and deadlines.
• Strong customer service, communication and follow-up skills.
• Able to coordinate independently with customers, shipping agents, customs clearance personnel and haulage teams.
• Candidate must be willing to work in I-City, Shah Alam.
