We are looking for an experienced Contract Manager (Pre-Contract) to lead cost estimation, tender preparation, and contract formation for our hotel and hospitality fit-out and FF&E projects. This role sits at the front end of the project lifecycle — from tender receipt through to contract award and handover to the project/site team — and is central to how competitively and accurately we price and win work.
Prepare detailed cost estimates and bills of quantities (BQ) for interior fit-out and FF&E supply packages, based on drawings, specifications, and tender documents.
Source and evaluate quotations from suppliers, subcontractors, and vendors to build up accurate, competitive pricing.
Analyze tender documents to identify scope, risks, exclusions, and qualifications required in the bid.
Prepare and submit tender/bid proposals within client deadlines, ensuring pricing accuracy and commercial soundness.
Conduct value engineering and cost optimization exercises to improve competitiveness without compromising quality.
Review tender and contract documents (e.g., PAM Sub-Contract and other standard forms) to assess commercial and contractual risk before submission.
Advise the COO and senior management on contractual terms, payment terms, and risk exposure prior to contract signing.
Negotiate commercial and contractual terms with clients, main contractors, and consultants during the pre-contract stage.
Prepare contract documentation, letters of award, and subcontract agreements in coordination with management.
Ensure a smooth, well-documented handover of awarded projects to the operations/project team, including scope, budget, and key contractual obligations.
Minimum 5 years of experience in cost estimation and/or contract management, ideally within interior fit-out, construction, or FF&E supply for the hospitality sector.
Strong working knowledge of cost estimation methods, BQ preparation, and tender processes.
Familiarity with Malaysian standard contract forms (e.g., PAM Sub-Contract) and construction industry practices.
Solid understanding of contract terms, risk allocation, and payment provisions at the pre-contract stage.
Strong numerical and analytical skills, with high attention to detail and accuracy under deadline pressure.
Good negotiation and communication skills, with the ability to liaise confidently with clients, consultants, and suppliers.
Proficiency in estimation/BQ software and Microsoft Excel; experience with project/procurement platforms is an advantage.
Bachelor's degree in Quantity Surveying, Construction Management, Civil Engineering, Interior Design, or a related field.
