Job summary

Girafsail Logistics Sdn Bhd in Selangor is seeking a Trade Documentation Specialist to manage trade documents and respond to customer enquiries. You will review documents, input data in line with sales agreements, letters of credit, and contracts, and prepare documents for customs declaration and shipment.

The ideal candidate has a bachelor's degree, experience in foreign trade or supply chain, strong English, good communication, and solid computer literacy.

Qualifications

Responsibilities

• Receive and review customer enquiries and trade documents.
• Collect and input trade data per agreements, contracts, LC and PO requirements.
• Prepare trade contracts and supporting documents for customs declaration and shipment.
• Follow up on tax invoices, payments and funds related to trade.
• Complete account reconciliation with manufacturers.
• Archive and verify all trade documents and records.
• Coordinate with sales representatives and partners, providing status updates.
• Assist in training and guiding business partners.
• Undertake other ad-hoc tasks assigned by management.

This role involves managing trade documentation and customer enquiries. You will review documents, collect and input trade data in accordance with agreements, contracts, purchase orders, letters of credit and business requirements, and prepare trade contracts and supporting documents for customs declaration, commodity inspection, shipment and receipt of goods.

Key responsibilities

Receive customer enquiries and review documents

Collect and input various trade data in accordance with agreements, contracts, purchase orders, letters of credit and specific business requirements

Prepare trade contracts and supporting documents for customs declaration, commodity inspection, shipment and receipt of goods

Follow up on collection of tax invoices, process payment and receipt of goods funds and tax payment

Complete account reconciliation with manufacturers

Collect, sort, verify and archive all types of trade documents, including trade contracts, tax rebate supporting documents, retained customs declaration files and other relevant records

Communicate timely with sales representatives or sales assistants and provide status updates

Assist in training and guiding business partners

Undertake other ad-hoc tasks assigned by management

About you

Bachelor's degree or above

Prior working experience in foreign trade or supply chain industry is preferred

Good communication skills and English proficiency

Solid theoretical knowledge of foreign trade and strong computer literacy

Strong sense of responsibility, excellent communication and coordination skills and good team spirit
