Job summary

Belleview Property Services Sdn Bhd in Penang seeks a proactive marketing & leasing professional to support tenancy acquisition and marketing campaigns for its retail and commercial properties.

You will coordinate promotions, engage prospective tenants and manage leasing documentation to help achieve occupancy and rental targets while maintaining strong tenant relationships across assigned properties.

Job description

Department: Marketing & Leasing
Reports To: Manager / Senior Manager – Marketing & Leasing or General Manager, as assigned
Location: Assigned properties / any other properties as directed by Management

1. Job Purpose

To support the marketing, leasing and promotional activities of the Company's properties by identifying prospective tenants, securing new leasing opportunities, maintaining good tenant relationships, coordinating marketing campaigns and achieving the Company's occupancy, rental income and business performance targets.

2. Key Duties and Responsibilities

A. Leasing and Tenant Acquisition

Identify, source and approach prospective tenants, retailers, F&B operators, service providers and other suitable business operators.

Promote available retail lots, commercial units, kiosks, promotional spaces and other leasable areas.

Conduct property viewings and present leasing proposals, rental rates, tenancy terms and property facilities to prospective tenants.

Follow up on enquiries, conduct negotiations within approved parameters and assist in securing tenancy commitments.

Prepare leasing proposals, rental quotations, letters of offer and other leasing documents for management review and approval.

Monitor the leasing pipeline and maintain an updated list of prospects, negotiations, commitments and follow-up actions.

Assist in developing tenant mix strategies to improve the property's market positioning, attractiveness and commercial performance.

Monitor competitor properties, prevailing rental rates, market trends and potential business opportunities.

B. Leasing Administration and Documentation

Prepare and coordinate tenancy-related documents, including offers, tenancy agreements, renewals, extensions and other supporting documents.

Liaise with tenants, Legal, Finance, Property Management and other relevant departments to facilitate tenancy documentation and handover.

Ensure that leasing proposals, rental terms, incentives and other commercial arrangements comply with approved terms and delegated authority.

Maintain accurate records of tenancy details, rental rates, deposits, lease commencement and expiry dates, renewal status and vacant units.

Monitor upcoming tenancy expiries and initiate renewal discussions in a timely manner.

Follow up on outstanding tenancy documents, deposits and other leasing requirements with the relevant parties.

Coordinate with Property Management and Fit‑Out teams on tenant handover, renovation requirements, fit‑out approvals and opening schedules.

C. Marketing and Promotional Activities

Assist in planning and implementing marketing campaigns, promotional activities, seasonal events and tenant engagement programmes.

Coordinate advertising, social media content, digital marketing, publicity materials and promotional campaigns to increase property awareness and visitor traffic.

Liaise with tenants, vendors, advertising agencies, event organisers and other external parties to execute marketing activities.

Assist in organising festive celebrations, roadshows, exhibitions, product launches, community events and other promotional programmes.

Monitor campaign performance, visitor engagement and promotional expenditure, and prepare reports on results.

Support cross‑promotional activities with tenants, business partners and relevant organisations.

Ensure that all marketing materials and communications follow the Company's branding guidelines and receive the necessary approvals.

Maintain positive working relationships with existing tenants and prospective tenants.

Attend to tenant enquiries, feedback and leasing‑related issues, coordinating with the relevant departments where necessary.

Conduct regular tenant visits and obtain feedback on business performance, customer demand and operational concerns.

Identify opportunities for tenant retention, lease renewal, rental optimisation and additional leasing income.

Communicate relevant property promotions, events, operational updates and marketing opportunities to tenants.

Escalate significant tenant complaints, disputes, rental concerns and potential tenancy risks to the immediate superior.

E. Rental Performance and Business Development

Assist in achieving the property's approved occupancy rate, rental income and leasing targets.

Monitor vacant units, upcoming vacancies, rental rates, rental incentives and leasing conversion rates.

Support rental negotiations and recommend suitable commercial terms based on market conditions and approved guidelines.

Identify opportunities to lease vacant or underutilised spaces, including kiosks, temporary stalls, advertising spaces and event areas.

Monitor tenant turnover, non-renewals and leasing risks, and recommend appropriate corrective actions.

Work with Finance and Property Management to follow up on rental‑related matters, outstanding payments and tenant operational status.

Assist in preparing leasing budgets, marketing budgets, forecasts and business development proposals.

F. Reporting and Administration

Prepare weekly and monthly reports on leasing enquiries, prospects, negotiations, new leases, renewals, vacancies and occupancy performance.

Maintain an updated leasing database and ensure all records are accurate and properly filed.

Prepare marketing activity reports, event summaries, campaign evaluations and expenditure reports.

Track progress against approved targets and highlight delays, risks and matters requiring management decisions.

Attend departmental meetings and provide updates on leasing and marketing activities.

Perform other duties and responsibilities as assigned by Management from time to time.
