Job summary

Schaeffler is seeking a diligent HR Project Coordinator in Malaysia to support HR system testing, document processes, and develop training materials. You will coordinate Change, Communication & Training (CCT) across APAC, prepare leadership communications, and assist in organizing webinars and go-live activities.

Join a global technology leader and contribute to APAC HR initiatives with exposure to SAP, SuccessFactors, and other HRIS tools.

Qualifications

• Strong written and verbal English communications, seen by senior leaders.
• Proficient in Excel and PowerPoint for professional outputs.

• Confidential handling of HR data and project information.

Responsibilities

• Support testing activities for HR Systems.
• Help maintain process documentation and training materials.
• Coordinate CCT initiative tracking across APAC using trackers and tools.
• Assist in preparing presentation materials, briefing decks and workshop content.
• Support organisation of training sessions, webinars and go-live readiness activities.
• Draft communication materials including email updates, FAQ documents and awareness notifications.
• Maintain action logs, meeting minutes and follow-up trackers.
• Coordinate logistics and scheduling for workshops, stakeholder calls and training sessions.
• Assist in preparing status reports and leadership update materials.

Your Key Responsibilities

System & Process Support

• Support testing activities for HR Systems
• Help maintain process documentation and training materials

Change, Communication & Training (CCT)

• Coordinate CCT initiative tracking across APAC countries using the CCT Tracker and project tools
• Assist in preparing presentation materials, briefing decks and workshop content for regional HR audiences
• Support the organisation of training sessions, webinars and go-live readiness activities
• Draft communication materials including email updates, FAQ documents and awareness notifications

Project Coordination

• Maintain action logs, meeting minutes and follow-up trackers
• Coordinate logistics and scheduling for workshops, stakeholder calls and training sessions
• Assist in preparing status reports and leadership update materials

Your Qualifications

Skills & Attributes

• Strong written and verbal communication in English. You will produce documents seen by senior leaders
• Proficient in Microsoft Excel and PowerPoint - Able to produce clean, organised, professional outputs
• Detail-oriented and structured - Able to manage multiple tasks and track deliverables without close supervision
• Curious and proactive - Asks questions, does not wait to be told what to do next
• Respectful of confidentiality - HR data and project information must be handled with discretion

Advantageous (Not Required)

• Prior exposure to SAP, SuccessFactors, ServiceNow or any HRIS / LMS platform
• Knowledge of HR processes such as hiring, onboarding, payroll or learning & development
• Experience in project coordination, event organisation or administrative support
