Job summary

George Fischer (M) SDN BHD is seeking a diligent Order Fulfilment Specialist in Malaysia to manage machine rental movements, create and update SAP records, and coordinate with Sales, Logistics and Finance to ensure on-time order fulfilment. You will handle both EDI and non-EDI orders, communicate shipping status, and support billing with accurate documentation.

Qualifications

• Experience in order fulfilment, customer service, logistics or related roles.
• Knowledge of SAP and ERP systems; familiarity with CRM tools is a plus.

Job description

Main objectives: Handle machine rental movement transactions and related documentation accurately and in a timely manner. Ensure the smooth execution of sales order transactional processes, including order creation, delivery processing, and system updates. Maintain efficient coordination and communication with Sales, RSS, Warehouse, Logistics, and other stakeholders to ensure timely order fulfilment. Support the Sales Development team in handling customer complaints, returns, exchanges, and issue resolution. Maintain accurate records and SAP transactions to ensure traceability of machine movements and order processing activities.

Job Responsibilities

• 1. Machine movement process: Process machine rental movements, including machine issuance, transfers, exchanges, returns, repairs, and inbound transactions in SAP. Create and maintain rental contracts, delivery notes, and related machine movement documentation. Ensure all machine movements are accurately updated and traceable in SAP based on information provided by RSS. Monitor and reconcile machine movement records to maintain alignment between physical machine locations and SAP data.
• 2. Order entry: Process all common order administration activities efficiently for both EDI and non-EDI orders. Check open orders, product availability, customer requirements, and delivery schedules. Ensure customer notes and special instructions are considered during order processing. Send order acknowledgements and delivery confirmations to customers.
• 3. Order processing: Advise customers, suppliers, and transport providers on order status, product shortages, expected delivery dates, price changes, and possible solutions. Monitor backorder releases, check stock availability, merge orders when appropriate, set delivery dates, and release orders in SAP. undefined Complete billing activities and ensure invoices and supporting documents are submitted according to agreed billing methods (EDI, e-Invoicing, customer portal, etc.).
• 4. AdhocTask: Maintain proper records of invoice submissions and supporting documents. Maintain filing and documentation related to order fulfilment activities.

Job Requirement

Fluent in English and Mandarin is an advantage Good attitude, team player and adaptable to change Experience Minimum 1-3 years of experience in Order Fulfilment, Customer Service, Logistics, Sales Administration, or a related role. Knowledge of ERP systems (SAP system is added advantage). Proficient in Microsoft Office applications, particularly Excel, Word, and Outlook. Knowledge of CRM systems, such as Microsoft Dynamics, is an advantage.
