Job Overview
We are looking for a hands‑on and experienced Senior Human Resources Executive to independently manage the full spectrum of HR functions within the company.
This role is suitable for someone who is strong in people management, recruitment, payroll, employee relations, disciplinary matters and Malaysian employment law.
You will work closely with Management and Department Heads to ensure that the company has the right people, clear HR policies, proper employee discipline and effective HR processes.
The ideal candidate should be firm, fair, organised, proactive and solution-oriented, with the confidence to handle sensitive employee matters professionally.
Key Responsibilities
Recruitment & Manpower Planning
Manage the full recruitment cycle, including job postings, candidate screening, interviews, offers and onboarding.
Work closely with Department Heads to understand manpower requirements and hiring priorities.
Source suitable candidates through JobStreet, LinkedIn, referrals and other recruitment channels.
Monitor recruitment progress and ensure vacancies are filled within a reasonable timeline.
Improve recruitment and selection processes to increase hiring quality.
Manage employee onboarding, probation confirmation, resignation and offboarding procedures.
Conduct exit interviews and identify employee turnover trends.
Employee Relations, Discipline & People Management
Act as the main HR contact for employee issues, grievances, conflicts and workplace concerns.
Handle employee misconduct, poor performance, attendance issues, absenteeism and other disciplinary matters.
Prepare and manage show cause letters, warning letters, counselling records, disciplinary documentation and other HR correspondence.
Guide managers on handling difficult employee situations professionally and consistently.
Conduct or coordinate domestic inquiries and disciplinary processes when required.
Ensure disciplinary actions and termination procedures are properly documented and compliant with Malaysian employment requirements.
Maintain confidentiality when handling sensitive employee matters.
Build a professional, accountable and positive working culture.
Manage and process monthly payroll accurately and on time.
Manage salary adjustments, allowances, overtime, leave deductions, bonuses and other payroll matters.
Ensure accurate statutory contributions including EPF, SOCSO, EIS and PCB.
Maintain employee payroll records and confidential HR information.
Manage employee benefits, insurance, leave entitlement and other HR-related benefits.
Assist Management with salary benchmarking, increments, promotions and compensation reviews.
Malaysian Labour Law & HR Compliance
Ensure HR practices comply with the Employment Act 1955 and other applicable Malaysian employment laws and regulations.
Keep Management updated on relevant changes to employment legislation and statutory requirements.
Review and improve employment contracts, HR policies, employee handbook and internal HR procedures.
Ensure proper documentation for disciplinary actions, termination, resignation and other employee matters.
Liaise with relevant government departments, authorities or external HR/legal advisors when necessary.
Reduce employment-related risks through proper procedures and documentation.
Performance Management
Manage probation reviews, performance appraisals and KPI processes.
Work with Department Heads to identify and address underperformance.
Implement and monitor Performance Improvement Plans (PIP) where required.
Follow up with managers on employee performance and accountability.
Coordinate salary increments, promotions, confirmation and employee movement exercises.
HR Administration & HR System
Maintain accurate employee records, personal files, attendance, leave and HR system data.
Manage HRMS/HRIS administration and ensure employee information is updated.
Prepare HR reports including headcount, turnover, recruitment status, attendance and payroll information.
Improve HR SOPs, workflows and documentation to increase efficiency.
Ensure all employee information is handled with strict confidentiality.
Training & Employee Development
Identify training and development needs together with Department Heads.
Coordinate internal and external employee training.
Maintain training records and monitor training effectiveness.
Support Management in developing stronger employees and future team leaders.
Requirements
Bachelor’s Degree or Diploma in Human Resource Management, Business Administration, Psychology or related field.
Minimum 3–5 years of hands‑on HR experience.
Strong experience in full-spectrum HR, particularly recruitment, payroll and employee relations.
Good working knowledge of Malaysian employment laws and HR practices.
Experience handling disciplinary cases, warning letters, show cause letters, performance issues and employee grievances.
Experience processing payroll and statutory contributions such as EPF, SOCSO, EIS and PCB.
Able to handle sensitive and difficult employee situations professionally.
Strong communication, interpersonal and problem‑solving skills.
Firm, fair and able to stand your ground when handling employee matters.
Highly organised, responsible and able to work independently with minimal supervision.
Proficient in Microsoft Office and familiar with HRMS/HRIS systems.
Possess a valid driving licence and willing to travel when necessary.
