1. Employee Relations & Disciplinary Matters
- a. Manage and administer the end-to-end disciplinary process for minor misconduct cases, including receiving complaints, conducting preliminary investigations, gathering relevant information and evidence, issuing show-cause letters, conducting disciplinary inquiries where required, and preparing recommendations for appropriate action.
- b. Ensure all disciplinary cases are handled fairly, consistently and in accordance with company policies, procedures and applicable employment regulations.
- c. Maintain accurate and confidential records of disciplinary cases and monitor follow up actions until case closure.
- d. Provide guidance to employees and line managers on disciplinary matters, workplace conduct an applicable company procedure.
2. Driver & Company Vehicle Administration
- a. Perform driving duties to transport and pick up customers, business partners and company personnel for business-related activities, meeting an official appointment.
- b. Ensure customers are transported safely, professionally and punctually while maintaining a high standard of customer service and confidentiality.
- c. Coordinate with relevant departments and customers regarding driver-related matters and transportation arrangements.
- d. Maintain company vehicles records and ensure all required documents are complete and up to date.
- e. Assist in coordinating vehicle insurance, road tax and Autopass renewals.
- f. Monitor vehicle documentation and expiry dates and follow up with relevant parties to ensure timely renewal.
- g. Ensure company vehicles are maintained in a clean, safe and suitable condition for business and customer use.
- h. Report vehicles issues, maintenance requirements or transportation-related incidents to the relevant departments.
3. Industrial Accident & Medical Matters
- a. Assist in managing industrial accident cases, including accident reporting, documentation, follow up and coordination with relevant parties.
- b. Liaise with employees, supervisors, clinics, hospitals and insurance providers on accident and medical related matters.
- c. Assist in managing employee outpatient insurance claims, including document collection, submission and follow-up.
- d. Maintain proper records of employee accident, medical and insurance cases.
4. ASP System Administration
- a. Assist with ASP registration, employee activation and system administration.
- b. Update employee information and ensure records are accurate and up to date.
- c. Assist in blocking or deactivating employee access in the system when required.
- d. Maintain proper records of ASP registration and system-related activities.
5. Employee Engagement & Welfare
- a. Assist in conducting employee interviews and engagement sessions to understand employee’s concern, working conditions and welfare needs.
- b. Support HR in addressing employee concerns ad coordinating appropriate follow-up with relevant department.
- c. Coordinate medical assistance and follow up for foreign workers experiencing medical issues at accommodation.
Human Resources Assistant – Job Requirements
- a. Diploma in Human Resources Management or equivalent
- b. Fresh graduates are encouraged to apply.
- c. Basic understanding of Human Resources, Employee Relations and HR administration.
- d. Good communication and interpersonal skills
- e. Good organizational and time-management skills
- f. Able to handle confidential employee information with professionalism.
- g. Basic proficiency in Microsoft Office, especially Microsoft Word and Excel
- h. Good command of Bahasa Malaysia and English, both written and spoken
- i. Willing to learn and develop skills in HR operations and employee relations
- j. Responsible, proactive, disciplined and able to work independently or as part of a team.
- k. Willing to perform driving duties for business purposes, including transportation or picking up customers and company personnel when required.
- l. Possess a valid driving license and good driving record.
