ZW Packaging Sdn Bhd in Malaysia seeks a proactive HR Executive to manage employee records, onboarding/offboarding, attendance, payroll support, and governance of HR processes. You will work closely with management to ensure accurate documentation and compliant operations within a growing packaging firm.

Maintain and update employee personal records, personnel files, HR documentation, and related records.
Assist in onboarding and offboarding processes, including preparation of employment contracts, appointment letters, employee files, and clearance documents.
Monitor employee attendance, leave records, medical claims, and other employee-related matters.
Support recruitment activities, including job postings, candidate screening, interview coordination, and interview scheduling.
Assist in employee confirmation, transfer, promotion, resignation, and other employment-related processes.
Ensure HR records are properly maintained and updated.
Assist in monthly payroll processing and verification.
Prepare payroll summaries, headcount reports, and other HR reports.
Assist in handling EPF, SOCSO, EIS, PCB and EA Form requirements.
Monitor attendance, overtime, allowances, unpaid leave, deductions, and other payroll-related information.
Liaise with relevant government agencies and external parties on statutory matters when required.
Ensure payroll and statutory information is accurate and submitted within the required timelines.
Handle employee enquiries, grievances, feedback, and workplace concerns.
Conduct or assist with employee counselling sessions where required.
Support HODs and Management in handling attendance, misconduct, performance, and disciplinary matters.
Prepare relevant HR documentation, including counselling records, warning letters, show cause letters, investigation records, and other disciplinary documents.
Maintain proper records and confidentiality of employee relations and disciplinary cases.
Monitor follow-up actions and ensure cases are properly documented and closed.
Escalate serious or sensitive employee relations matters to Management when necessary.
Manage foreign worker matters including FOMEMA arrangements, work permit applications, permit renewals, passport renewal, and related documentation.
Coordinate with relevant government agencies, service providers, and agents on foreign worker matters.
Monitor validity of work permits, passports, medical examinations, and other relevant documents.
Coordinate foreign worker hostel arrangements and ensure proper living conditions.
Monitor hostel cleanliness, safety, facilities, and compliance with Company requirements.
Arrange and coordinate transportation for foreign workers on a daily or as‑required basis.
Maintain accurate records of foreign worker status and documentation.
Coordinate internal and external training arrangements for employees.
Prepare training schedules, attendance lists, training records, and supporting documents.
Liaise with trainers, training providers, departments, and employees regarding training arrangements.
Assist in identifying training needs based on departmental requirements and employee development.
Maintain proper training records for HR and ISO purposes.
Support Management in implementing employee development and training initiatives.
Manage and monitor stationery inventory and office supplies.
Maintain and replenish First Aid Kit items.
Manage and control Personal Protective Equipment (PPE) issuance and records.
Coordinate office and general administrative requirements.
Maintain proper records of administrative purchases, inventories, and related documents.
Liaise with suppliers and service providers for administrative matters.
Coordinate and monitor Company security arrangements.
Liaise with security personnel and security service providers regarding daily security matters.
Monitor security procedures, access control, visitor management, and gate pass arrangements.
Ensure security-related procedures are properly implemented.
Follow up on security incidents, access issues, and other security concerns.
Assist Management in reviewing and improving workplace security arrangements.
Coordinate Company uniform arrangements, including ordering, distribution, replacement, and collection.
Maintain accurate uniform issuance and return records.
Monitor uniform stock and coordinate replenishment when required.
Ensure employees comply with Company uniform requirements and related procedures.
Coordinate and support Company events, employee activities, celebrations, meetings, and engagement programmes.
Assist with event planning, venue arrangements, catering, decorations, logistics, invitations, and other event requirements.
Coordinate with internal departments, vendors, and external parties.
Assist in preparing event budgets, quotations, purchase requests, and supporting documents.
Ensure Company events are properly organised and executed.
Monitor and maintain records of Company assets, including vehicles, equipment, office items, and general Company property.
Maintain asset issuance, transfer, return, and disposal records.
Coordinate vehicle-related administrative matters, including insurance, road tax, servicing, repairs, and other documentation where required.
Monitor asset condition and report damage, loss, or abnormal situations to Management.
Ensure Company assets are properly controlled and used for authorised purposes.
Monitor and maintain records of Company licences, permits, registrations, and renewal dates.
Coordinate licence renewal and submission requirements with relevant government agencies or service providers.
Ensure necessary supporting documents are prepared and submitted within the required timeline.
Maintain proper records of licences, certificates, approvals, and related correspondence.
Follow up on pending applications and renewal status.
Prepare HR reports, manpower reports, attendance reports, payroll summaries, and other Management reports.
Prepare HR announcements, memos, notices, and internal communications.
Maintain proper HR and administrative filing systems.
Ensure HR documents are properly controlled, updated, and traceable.
Maintain confidentiality of employee and Company information.
Ensure HR and administrative activities comply with Company policies, procedures, and applicable requirements.
Support implementation and maintenance of relevant ISO QMS / EMS requirements.
Maintain HR and administrative records required for internal and external audits.
Assist in preparing documents and records for audit purposes.
Support corrective and preventive actions relating to HR and administrative matters.
Support Company activities, employee engagement programmes, and HR initiatives.
Provide administrative and HR support to Management and HODs.
Perform other HR and administrative duties as assigned by Management or superior.
Diploma or Bachelor's Degree in Human Resource Management, Business Administration, Management, or a related field.
HR certification or professional HR training is an added advantage.
Knowledge of Malaysian employment practices and statutory requirements is preferred.
Minimum 2–5 years of relevant experience in HR and Administration.
Experience in HR operations and payroll administration.
Hands-on experience with EPF, SOCSO, EIS, PCB and EA Form preparation.
Experience handling foreign worker matters, FOMEMA, work permits, passports, and hostel management is an advantage.
Experience in employee relations, counselling, and disciplinary matters is preferred.
Experience coordinating training programmes, Company events, security, uniforms, assets, or licences is an advantage.
Good knowledge of Malaysian HR practices and statutory requirements.
Good understanding of the Employment Act and related employment regulations.
Strong administrative and organisational skills.
