Job description

We are looking for a hands-on and highly organized Senior HR & Admin Executive to support our growing business operations in Malaysia. This multi-functional role covers core HR and administration work as well as business and operational coordination. Beyond recruitment, employee administration, attendance and payroll coordination, you will take charge of office & vendor management, procurement, warehouse & inventory coordination, sales order administration and shipment arrangement plus various cross-functional tasks. You need to thrive in a fast-paced environment, prioritize multiple tasks effectively, and liaise with local teams, headquarters and overseas colleagues.

Key responsibilities

Lead end-to-end local recruitment, handle employee onboarding/offboarding, manage attendance and leave records, and process monthly payroll with accurate calculation of EPF, SOCSO, EIS, and PCB contributions according to internal regulations and process

Oversee daily office administration, manage office/warehouse vendors, invoices, payment applications and lease matters

Procure office, warehouse supplies and urgent operational materials, validate product specifications, liaise with suppliers and track procurement progress

Maintain complete admin records and engage in cross-functional communication with headquarters and internal departments

Maintain material inbound/outbound records, support stock check, shipment arrangement, delivery documentation and customs clearance coordination

Liaise with internal teams, customers and freight forwarders for deliveries

Manage ERP sales orders, verify order & delivery information, coordinate invoicing, follow-up outstanding and urgent spare-parts orders

About you

Bachelor's Degree in Human Resources, Business Administration, Management or related fields; relevant working experience is acceptable

At least 3 years' experience in HR, Admin, Business Operations or similar multi-functional roles

Hands-on experience in employee administration, attendance and payroll management

Experience in regional office / fast-paced environment with broad responsibilities is preferred

Strong organization, coordination, multi-tasking and follow-up skills

Independent worker with strong task ownership

Detail-oriented with high accuracy under heavy workload

Fluent in written & spoken English, Malay and Mandarin for local and HQ communication
