Job summary

Island Shop International is seeking an HR Administrator to manage day-to-day HR operations for Malaysia and Singapore, including payroll processing, records management, onboarding, and recruitment assistance.

You will handle benefits, leave, and statutory contributions, ensure compliance with local laws, and support management with HR reporting and policy updates. Immediate start is a plus.

Qualifications

  • Diploma/Degree in HR, Business Administration, Management, or related discipline.
  • 2-3 years of relevant HR experience, preferably Malaysia/Singapore.
  • Good knowledge of payroll administration and HR practices in Malaysia and Singapore.
  • Familiarity with Malaysian and Singapore employment legislation and statutory requirements is an added advantage.
  • Experience in full HR administration including payroll, recruitment, employee records, leave, benefits and employee relations.
  • Computer literate and proficient in Microsoft Office.
  • Strong administrative, organizational and time-management skills.
  • Excellent attention to detail and accuracy in payroll and HR documentation.
  • Good communication and interpersonal skills with ability to work with employees at different levels.
  • Able to maintain confidentiality and handle sensitive employee information professionally.
  • Ability to start work immediately is an added advantage.
  • Monthly statutory contributions (EPF, SOCSO, EIS)

Responsibilities

  • Manage day-to-day operations of HR functions and provide HR support to employees in Malaysia and Singapore.
  • Handle monthly payroll processing for Malaysia and Singapore, ensuring accuracy and timely payment.
  • Maintain and update employee records, HR databases, leave and attendance records.
  • Administer onboarding and offboarding processes, including documents.
  • Assist with recruitment activities, including job postings, screening, interviewing and onboarding.
  • Manage employee benefits and welfare matters (leave, medical, insurance).
  • Ensure timely submission and administration of statutory contributions in Malaysia and Singapore.
  • Assist in ensuring compliance with employment laws and statutory requirements in both countries.
  • Prepare and maintain HR policies, procedures and documents.
  • Coordinate with external payroll providers and authorities.
  • Prepare HR reports for management to support decisions.
  • Maintain confidential HR records and assist with employee relations and performance management.
  • Support payroll costs and other HR initiatives with Finance.

Duties and Responsibilities

Manage the day-to-day operations of HR functions and provide HR support to employees in Malaysia and Singapore.

Handle monthly payroll processing for Malaysia and Singapore, ensuring accuracy and timely payment.

Maintain and update employee personal records, HR databases, leave records, attendance records, and other personnel documentation.

Administer employee onboarding and offboarding processes, including preparation of employment-related documents.

Assist with recruitment activities, including job postings, candidate screening, interview coordination, and onboarding.

Manage employee benefits and HR-related matters, including annual leave, medical benefits, insurance, and other employee welfare matters.

Ensure timely submission and administration of statutory contributions and HR-related requirements in Malaysia and Singapore.

Assist in ensuring compliance with applicable employment laws, regulations, and statutory requirements in both countries.

Prepare and maintain HR policies, procedures, guidelines, and relevant employment documents.

Coordinate with external payroll providers, government/statutory authorities, insurance providers, and other HR-related service providers when required.

Prepare HR reports and provide relevant HR information to management to support business and workforce decisions.

Maintain proper filing and documentation of confidential HR records.

Assist management in employee relations matters and disciplinary processes when required.

Support performance management, staff engagement, and other HR initiatives.

Liaise closely with the Finance Department on payroll, employee costs, statutory payments, and other HR-related matters.

Perform any other HR-related or ad-hoc duties as assigned by management.

Requirements
