Job summary

MK Precision Castings in Malaysia is seeking an HR Executive to manage the full lifecycle of foreign workers, from recruitment and documentation to permits and welfare.

You will coordinate onboarding, attendance, payroll, and compliance with Malaysian labour and immigration requirements, while maintaining accurate records and liaising with government agencies and agents.

Qualifications

  • Diploma/Degree in HRM, Business Administration or related field.
  • 2-4 years HR experience, preferably with strong foreign worker management experience.
  • Experience in a manufacturing environment will be an added advantage.
  • Good knowledge of foreign worker documentation, work permits, FOMEMA, insurance and immigration procedures.
  • Good knowledge of Microsoft Office, especially Excel.
  • Strong communication and interpersonal skills.
  • Able to work independently and handle multiple HR matters simultaneously.
  • Willing to handle urgent worker-related matters when required.

Responsibilities

  • Coordinate recruitment and onboarding of foreign workers via approved agents.
  • Verify passports, personal data and employment documents.
  • Maintain up-to-date records for all foreign workers.
  • Coordinate work permits, renewals, and immigration matters.
  • Oversee attendance, payroll coordination, and salary processing.
  • Liaise with Immigration and government agencies as needed.
  • Ensure compliance with Malaysian labour and immigration rules.
  • Manage welfare, accommodation, and grievance handling.
  • Prepare HR reports relating to foreign workers.

Reports To: HR Manager / Management

Job Purpose

Responsible for managing the complete lifecycle of foreign workers, including recruitment, documentation, work permits, immigration matters, medical examinations, insurance, attendance, payroll coordination, accommodation, welfare, and compliance with Malaysian employment and immigration requirements.

Key Responsibilities
  • Coordinate recruitment and hiring of foreign workers through approved agents/agencies.
  • Check and verify workers’ passports, personal details and employment documents.
  • Arrange onboarding, orientation and company induction.
  • Maintain complete and updated records for all foreign workers.
  • Coordinate worker replacement, transfer, repatriation and renewal matters when required.
  • Handle foreign worker work permit / PLKS related matters.
  • Monitor permit expiry dates and ensure timely renewal.
  • Coordinate with Immigration Department, relevant government agencies and appointed agents.
  • Prepare and submit required documents for foreign worker applications and renewals.
  • Maintain a proper tracking list for passport, permit and visa expiry dates.
3. Medical & Insurance
  • Arrange and monitor FOMEMA medical examinations.
  • Coordinate medical follow-ups for workers who require further examination.
  • Arrange foreign worker insurance and monitor policy expiry dates.
  • Maintain records of medical examination and insurance documents.
  • Conduct regular checks on accommodation conditions and cleanliness.
  • Handle workers’ welfare issues, complaints and basic disciplinary matters.
  • Coordinate transportation arrangements where required.
  • Assist workers with basic administrative matters such as bank account opening, SIM card registration and other company-related arrangements.
5. Attendance & Payroll Coordination
  • Monitor foreign workers’ attendance, overtime, leave and absenteeism.
  • Coordinate with Payroll/Finance for monthly salary processing.
  • Verify salary deductions, advances, allowances and other payroll-related matters.
  • Ensure proper documentation for salary payment and statutory deductions.
  • Follow up on bank account issues and salary payment arrangements.
6. Compliance & Documentation
  • Ensure compliance with Malaysian labour, immigration and foreign worker requirements.
  • Maintain accurate records for audits and government inspections.
  • Prepare HR reports relating to foreign workers.
  • Monitor important expiry dates such as:
  • Passport
  • FOMEMA
  • Insurance
  • Employment agreement
  • Other relevant permits/documents
  • Ensure all foreign worker files are complete and properly maintained.
  • Coordinate foreign worker repatriation when employment ends.
  • Arrange cancellation/closure of relevant permits where applicable.
  • Ensure company property, documents and outstanding matters are properly settled before departure.
  • Maintain proper records of workers who have left the company.
Requirements
  • Diploma/Degree in Human Resource Management, Business Administration or related field.
  • Minimum 2-4 years of HR experience, preferably with strong foreign worker management experience.
  • Experience in a manufacturing environment will be an added advantage.
  • Good knowledge of foreign worker documentation, work permits, FOMEMA, insurance and immigration procedures.
  • Good communication and interpersonal skills.
  • Able to communicate effectively with foreign workers, management, government agencies and external agents.
  • Good knowledge of Microsoft Office, especially Excel.
  • Organized, responsible and able to maintain confidential employee information.
  • Able to work independently and handle multiple HR matters simultaneously.
  • Willing to handle urgent worker-related matters when required.
Preferred Skills
  • Strong knowledge of foreign worker management in Malaysia.
  • Experience dealing with Immigration and FOMEMA matters.
  • Good documentation and follow-up skills.
  • Good problem-solving and negotiation skills.
  • Able to communicate in English and Bahasa Malaysia; additional languages are an advantage.
  • Experience using HR/Payroll systems is preferred.
