ETI (M) SDN. BHD. in Malaysia seeks an HR & Admin professional to support recruitment, onboarding, payroll, and benefits administration.
You will prepare documents for foreign hires, manage visa lifecycles, ensure regulatory compliance, and coordinate with immigration and government portals.
The role emphasizes filing, record-keeping, and coordinating HR activities to align with company policies.
Assist in the full spectrum of HR functions, including recruitment, onboarding, payroll, and benefits administration.
To prepared all the documents for foreign workers new hiring, check out memo and air tickets and any documents needed by KDN and JTK.
Assist in managing the renewal of foreign workers' permits, work passes, licences, and other regulatory requirements.
Responsible to ensure the statutory pay-out are compliance with government policies, which including EPF, Socso, LHDN, HRDF, etc.
Government document compilation & submission. Income tax form. Expatriate E-Filing, Tax clearance and EA Form.
Handle full expatriate visa lifecycle — Employment Pass application, renewal, and cancellation — including preparation and submission of all required documents.
Liaise closely with immigration agents and relevant authorities to resolve expatriate visa issues and ensure smooth processing.
Communicate with agents on visa documentation requirements and follow up on outstanding matters.
Monitor and update expatriate case status using the MIDA/ESD portal, tracking application progress and expiry/renewal timelines.
Maintain accurate and up-to-date employee records and personnel files in compliance with company policy.
Prepare and maintain employee records, contracts, and all other HR-related documentation.
Manage HR databases, ensuring the accuracy of payroll, leave, and attendance data.
Assist with payroll processing, ensuring salaries are calculated and distributed accurately and on time.
Support the management of employee grievances, disciplinary actions, and counselling sessions, in line with company policies.
Ensure adherence to labor laws, regulatory requirements, and company policies.
Organize HR events, such as career fairs.
Handle and verify staff monthly claims, ensuring accuracy, policy compliance, and timely submission to Finance.
Collaborate with management to align HR strategies with overall business goals.
Develop and implement training programs based on operational or compliance needs.
Register training programs with HRD Corp (HRDC) and manage the claim process in line with company eligibility and procedures.
Oversee office facilities, supplies, and equipment to maintain an efficient and pleasant working environment.
Handle administrative tasks such as documentation, correspondence, and filing systems.
Coordinate with vendors, service providers, and contractors for office maintenance and related services.
Arrange travel logistics, company events, and meetings.
Assist in preparing reports, memos, and other administrative documents as needed.
Diploma or Bachelor's Degree in Human Resources, Business Administration, Management, or a related field.
Preferably 2–4 years of experience in HR and administration.
Good knowledge of HR practices, payroll, and Malaysian employment requirements.
Good communication and interpersonal skills.
Strong organizational and time-management skills.
Able to work independently with minimal supervision and as part of a team.
Responsible, detail-oriented, proactive, and able to maintain confidentiality.
Mandarin speaker would be preferred to help communicate with HQ.
