FUTURE FOOD SDN. BHD. is seeking an HR Assistant to manage and maintain company employee hostels across multiple sites in Malaysia. You will oversee occupancy, welfare, maintenance, discipline, and daily administrative tasks, with a focus on foreign workers and regulatory compliance.
The role requires 1–2 years in HR administration or hostel facilities, strong communication, and proficiency with Excel and Word. Occasional travel between hostels and factory locations is expected.
To manage and maintain the company's employee hostels, ensuring that accommodation is safe, clean, well-organized, and compliant with applicable laws and company policies. The HR Assistant will oversee hostel occupancy, employee welfare, maintenance, discipline, and daily administrative matters, particularly for foreign workers.
Manage the daily operations of company hostels and ensure proper accommodation arrangements for employees
Coordinate hostel check-in and check-out procedures for new joiners, resigned employees, and transferred employees
Maintain accurate records of hostel occupants, room allocations, bed assignments, and occupancy status
Ensure employees comply with hostel rules, regulations, and company policies
Conduct regular hostel inspections to ensure cleanliness, hygiene, safety, and proper use of facilities
Monitor the condition of hostel facilities, including electrical appliances, plumbing, water supply, furniture, and common areas
Coordinate repair and maintenance works with contractors, landlords, and the relevant internal departments
Handle hostel disputes, misconduct, and disciplinary issues in accordance with company policies
Prepare monthly hostel occupancy reports and accommodation cost summaries
Assist in managing accommodation arrangements for foreign workers in accordance with applicable Malaysian laws and regulations
Minimum SPM / Diploma in Human Resource Management, Business Administration, or a related field
At least 1–2 years of working experience in HR administration, hostel management, facilities management, or a related role
Good communication and interpersonal skills
Able to communicate with employees from different nationalities and cultural backgrounds
Proficient in Microsoft Excel, Word, and basic administrative systems
Good organizational, coordination, and problem-solving skills
Responsible, proactive, disciplined, and detail-oriented
Willing to travel between company hostels and factory locations when required
Able to work independently and handle urgent hostel-related matters
Basic knowledge of plumbing, electrical maintenance, and general repair works.
Experience in hostel maintenance, facilities management, or building maintenance will be an advantage.
Able to handle minor repairs independently and coordinate major maintenance works with external contractors.
