Job summary

Hao Wei xps Sdn bhd in Malaysia seeks an organized HR and Admin Assistant to support day‑to‑day HR activities, including payroll preparation, statutory contributions, recruitment, onboarding and maintaining employee records.

You will assist with work pass administration, HRIS data, performance processes and HR reporting while coordinating benefits and training. Fresh graduates are welcome to apply with relevant qualifications.

Qualifications

  • Diploma or Bachelor’s Degree in Human Resources, Business Administration, Management or related field.
  • 1–2 years of experience in HR, payroll or administration preferred; fresh graduates welcome.
  • Basic knowledge of payroll and Malaysian statutory requirements (EPF, SOCSO, EIS, PCB) is a plus.
  • Proficient in Microsoft Office, especially Excel, Word and Outlook.
  • Good written and verbal communication in English and Bahasa Malaysia.

Responsibilities

  • Assist monthly payroll prep including attendance, overtime, allowances and deductions.
  • Assist with statutory submissions and payments (EPF, SOCSO, EIS, PCB).
  • Support recruitment activities: job ads, screening and interview coordination.
  • Prepare employment contracts and coordinate onboarding and offboarding.
  • Maintain accurate employee records, leave, attendance and HR system data.
  • Assist with work permit/pass applications and renewals.
  • Support performance reviews and employee objective setting.
  • Prepare HR reports and assist with audits and compliance docs.
  • Coordinate employee benefits, training and HR-related activities.
  • Provide general office and administrative support.

Job description

The successful candidate will support the day-to-day HR and administrative functions, including payroll preparation, statutory contributions, recruitment, onboarding, employee records, work pass administration, performance management and general HR administration.

This is a great opportunity for someone who is looking to gain hands‑on experience across a broad range of HR functions within an international organisation.

Key Responsibilities

Assist with monthly payroll preparation, including attendance, overtime, allowances and deductions.

Assist with statutory submissions and payments, including EPF, SOCSO, EIS and PCB.

Support recruitment activities, including job advertisements, candidate screening and interview coordination.

Prepare employment contracts and coordinate employee onboarding and offboarding.

Maintain accurate employee records, leave, attendance and HR system information.

Assist with work permit/pass applications, renewals and related documentation.

Support performance review and employee objective-setting processes.

Prepare HR reports and assist with HR audits and compliance documentation.

Coordinate employee benefits, training and other HR-related activities.

Requirements

Diploma or Bachelor’s Degree in Human Resources, Business Administration, Management or a related field.

1–2 years of experience in HR, payroll or administration is preferred.

Fresh graduates with relevant qualifications are also encouraged to apply.

Basic knowledge of payroll and Malaysian statutory requirements such as EPF, SOCSO, EIS and PCB would be an advantage.

Proficient in Microsoft Office, particularly Excel, Word and Outlook.

Good written and verbal communication skills in English and Bahasa Malaysia.

Good organisational skills with strong attention to detail.

Able to maintain confidentiality when handling employee information.

Experience using HRIS/payroll systems such as BrioHR would be an advantage.
