Job summary

Private Advertiser is seeking a Junior HR Executive in Malaysia to support full-spectrum HR tasks with a strong focus on payroll, lifecycle management, data reporting and compliance.

You will handle monthly payroll processing, employee records in HRIS, and assist recruitment and onboarding while ensuring confidentiality and accuracy in all HR duties.

Qualifications

• Diploma or degree in HRM or related field.
• 3–4 years HR Generalist with payroll experience.
• Proficient in HRIS and Excel.
• Knowledge of Malaysia labour laws.
• High level of integrity and confidentiality.
• Strong communication and teamwork.

Responsibilities

• Process monthly payroll including allowances, claims, overtime, leave deductions, new joiners and statutory submissions.
• Ensure payroll compliance with Malaysia labour regulations.
• Maintain employee records in HRIS/payroll system.
• Prepare payroll and headcount reports and audit support documents.
• Handle EA form distribution & PCB reporting.
• Support end-to-end recruitment and onboarding processes.
• Assist work pass / permit applications if applicable.
• Maintain HR documents and respond to HR policy inquiries.

Job description

The Junior HR Executive will be responsible for supporting full spectrum HR functions with a strong focus on monthly payroll administration, employee lifecycle management, HR data reporting and compliance. This role requires attention to detail, strong confidentiality, and the ability to work effectively with both internal employees and external service providers.

Key responsibilities

• Administer monthly payroll including allowances, claims, overtime, leave deductions, new joiners/resignees and statutory submissions (EPF, SOCSO, EIS, PCB)
• Ensure payroll processing is accurate and timely, in compliance with Malaysia labour and statutory regulations
• Maintain and update employee records in HRIS / payroll system
• Prepare payroll-related reports, monthly headcount reports and audit support documents
• Handle yearly EA form distribution & PCB reporting
• Support end-to-end recruitment process (job posting, arranging interviews, preparing offer letters)
• Coordinate onboarding for new hires including documentation, orientation schedule and system access setup
• Assist in work pass / permit applications (if applicable)
• Maintain and safeguard personal files and HR documentation
• Support employee enquiries on HR policies, benefits and payroll matters

About you

• Diploma / Degree in Human Resource Management, Business Administration, or relevant field
• Minimum 3–4 years of HR Generalist experience, with hands‑on payroll experience
• Familiar with HRIS / payroll systems and Microsoft Office (Excel proficiency is a must)
• Good understanding of Malaysia labour laws and statutory contributions
• High level of integrity, confidentiality, and accuracy
• Strong communication and interpersonal skills; able to work independently and as part of a team
