HLM Machinery Sdn Bhd is seeking a capable HR Administrator to support day-to-day HR and office operations. The role covers attendance, payroll-related aspects, recruitment, onboarding, and meticulous record-keeping in compliance with Malaysian labour laws.
The ideal candidate holds a Bachelor's degree in HRM or Business Administration, has 2 years' HR admin experience, and is proficient in Microsoft Office with strong English and organizational skills.
a. Assist in overtime calculations and ensure accuracy.
b. Manage employee attendance, leave, benefits (e.g., SOCSO and insurance), and business travel expense claims.
c. Coordinate recruitment, onboarding, and new employee registration, including the preparation and completion of required employment documents (e.g., registration forms and Letters of Offer).
d. Ensure HR records are maintained with confidentiality and in compliance with company policies, data protection requirements, and applicable labor laws.
ii. Handle Administrative functions:a. Organize and maintain physical and electronic filing systems.
b. Arrange air tickets and accommodation for staff, when required.
c. Maintain and update records for Personal Protective Equipment (PPE) and uniforms.
iii. Perform other duties:a. Provide administrative and operational support to other team members as required to ensure the smooth operation of the office.
b. Carry out responsibilities for HLM Machinery Sdn. Bhd. and its subsidiary companies, where applicable.
Job RequirementsBachelor's Degree in Human Resource Management, Business Administration, or a related field.
Minimum 2 years of hands-on experience in Human Resource Administration or a similar role.
Proficient in Microsoft Office applications.
Good command of English.
Possess a valid driving licence and own transportation.
Strong interpersonal and communication skills.
Good organizational and time management skills with the ability to handle multiple tasks.
Demonstrates integrity by upholding ethical standards, company policies and professional conduct.
Objective and fair when handling employee concerns, workplace disputes and disciplinary matters.
Familiarity with Malaysian Employment Act, payroll, or HRIS will be an added advantage.
