About the role
We are seeking a detail-oriented and organised General Clerk to join our team at Lily Chua & Associates in Bandar Sri Damansara, Selangor. This is a full-time position that plays a vital role in supporting the smooth operation of our office. As General Clerk, you will be responsible for handling a variety of administrative tasks that keep our organisation running efficiently. This role is essential to ensuring that our team can focus on delivering excellent service to our clients, whilst you manage the day-to-day administrative functions that support our operations.
Key responsibilities
- Managing and maintaining office filing systems, ensuring documents are organised, filed correctly and easily retrievable
- Answering incoming telephone calls and directing them to the appropriate staff members or departments
- Receiving, sorting and distributing mail and packages to relevant departments or individuals
- Processing and inputting data into company databases and systems accurately and efficiently
- Preparing and photocopying documents, reports and correspondence as required
- Scheduling meetings, managing diaries and coordinating calendars for staff members
- Maintaining office supplies inventory and ordering stock when levels are low
- Greeting visitors and clients, providing them with information and directing them appropriately
- Supporting various departments with general administrative tasks as needed
- Ensuring the office environment is kept clean, organised and adheres to health and safety standards
What we're looking for
- GCSE or equivalent qualifications, with strong English and Mathematics skills
- Proven experience working in an administrative or office support role, ideally 1-2 years
- Excellent organisational and time management abilities with the capacity to manage multiple tasks simultaneously
- Strong attention to detail and accuracy, particularly when handling data and documentation
- Proficiency in using Microsoft Office applications (Word, Excel, Outlook) and general IT systems
- Excellent verbal and written communication skills
- Professional demeanour with a friendly and helpful approach to working with colleagues and clients
- Ability to work both independently and as part of a team
- Reliability and commitment to punctuality
- Preferred: Experience with filing systems, document management or basic bookkeeping tasks
