Mitra Malaysia Sdn Bhd is looking for an Administrative Assistant to support office operations and manage documentation. The role includes handling clerical tasks, data entry, and assisting HR with employee records.
The ideal candidate should hold a Diploma in Business Administration and have at least 2-3 years of administrative experience. Proficiency in Microsoft Office, excellent organizational skills, and the ability to work independently are essential.
Perform daily administrative and clerical duties to support the smooth operation of the office.
Prepare, organize, maintain, and file company documents, records, and correspondence.
Handle data entry, emails, and other general administrative tasks.
Prepare letters, forms, and other administrative documents.
Handle the renewal of company licences, registrations, and association memberships, and other relevant authorities.
Maintain office supplies and stationery, evaluate suppliers, and monitor and update equipment inventory records.
Assist HR with employee attendance, leave application records, and other HR administrative matters.
Assist with claims, purchase orders, and other administrative documentation.
Coordinate meetings, appointments, company events and activities as required.
Provide administrative support to management and other departments.
Maintain confidentiality of company and employee information.
Assist in the implementation and maintenance of the ISO 9001:2015 Quality Management System, including document control, record keeping, audit coordination, corrective actions, and ensuring compliance with established quality procedures.
Perform any other duties assigned by the supervisor or management.
Requirements:
Minimum Diploma in Business Administration, Office Management, or a related field.
Minimum 2-3 years' experience of relevant administrative experience.
Proficient in Microsoft Office, particularly Word and Excel.
Strong administrative, organisational, and time-management skills.
Good written and verbal communication skills.
Detail-oriented with strong accuracy in documentation and data entry.
Able to manage multiple tasks, meet deadlines, and work independently.
Good command of English and Bahasa Malaysia.
Positive attitude, responsible, and able to work effectively as part of a team.
