Gardenia Bakeries (KL) Sdn Bhd is seeking an experienced Finance Operations professional to oversee Cashier and Kwik Lok activities. The incumbent will ensure accurate daily cash management, support SOP updates, and coordinate with IT during system disruptions, contributing to orderly, efficient cash operations.

Qualifications

• Bachelor's degree in Accountancy or Business Admin or related discipline.
• Minimum 5 years experience in Finance Operation, especially Cashier and Logistics.
• Proficient in Microsoft Excel, Advanced Excel and Microsoft Office.
• Excellent written communication (emails, reports) and verbal communication for collaboration.
• Proven leadership, integrity, problem solving and decision making.

Responsibilities

• Monitor daily operation for Cashier and Kwik Lok Department to ensure SOP compliance.
• Assist manager with updating SOPs for Cashier and Kwik Lok department.
• Ensure Cashier’s operation assets are in good condition and maintained.
• Resolve service and maintenance of cashier assets to avoid disruptions.
• Monitor packet collection from outstation base from feeder safe truck.
• Liaise with relevant departments to resolve issues with packet collection delays or failures.
• Coordinate with IT during PRONTO or ETMS system disruptions and errors.
• Monitor CDM Cash collection process compliant with SOPs.
• Organize workplace safety and storage of assets, filing, cleaning, and safety key storage.
• Provide updates on VSM Cash shortages, exchange, and bank slip issues.
• Monitor and verify daily cash-related reports and ageing reports.
• Prepare petty cash reimbursement summaries for order replenishment with Safeguard Secure Solutions.
• Prepare VSM Clearing Account reconciliation monthly.
• Handle additional admin tasks including duty rosters, overtime, stationery, service and purchase requests.
• Compile yearly audit samples as requested by auditors.

• Minimum Bachelor’s degree in Accountancy or Business Admin or other related discipline;
• Minimum 5 years working experience in Finance Operation especially in Cashier and Logistics unit (intensive training will be given during probationary period for 3 months);
• Proficient in Microsoft Excel, Advance Microsoft Excel and Microsoft Office;
• Excellent in written communication (emails, reports and project paperwork) and verbal communication to effectively collaborate with diverse parties;
• Proven leadership skills with integrity, problem solving, and decision making.

Responsibilities:

• Monitor daily operation for Cashier and Kwik Lok Department to ensure compliance with Standard Operating Procedure (SOP) requirements;
• Assist manager with updating SOPs for Cashier and Kwik Lok department;
• Ensure Cashier’s operation assets (safe box, safe truck, master and duplicate safe keys, luggage bags, notes, coins and CDM machine) are always in good condition;
• Ensure service and maintenance of cashier’s important assets are resolved immediately to avoid disruption of cashier operation;
• Monitor packet collection from outstation base from feeder safe truck;
• Liaise with relevant departments to identify and resolve issues involving packet collection delays or failures;
• Liaise with IT department during disruptions involving PRONTO or ETMS system failures and errors;
• Monitor CDM Cash collection process is compliant with SOPs;
• Organize workplace and environment safety including schedule of storage and disposal of boxes and assets, filing exercise, cleaning schedule and CIT areas, and safety key storage for door access;
• Provide regular updates and follow up on VSM Cash shortages, Exchange, Issues errors and Bank In slip issues;
• Monitor and verify Special Order cash shortages with Sales Admin department;
• Monitor and verify daily Cash Collection Report prepared by Chief Cashier;
• Monitor and verify daily VSM Ageing Report;
• Monitor and verify daily bank reconciliation;
• Prepare summary of petty cash reimbursement for order replenishment with Safeguard Secure Solutions Sdn. Bhd.;
• Prepare VSM Clearing Account reconciliation on a monthly basis;
• Other administrative tasks including preparation and update of duty roster, overtime report, and stationery, service and purchase requests;
• Compile yearly audit samples as requested by auditors.
