Job summary

Alfa Laval Malaysia Sdn. Bhd. is seeking a Service Coordinator to support field service activities and ensure timely delivery of orders. You will coordinate customer purchases, engineer schedules, quotations, and administrative processes in a fast-paced environment.

You will collaborate with Service Engineers, Team Managers, Service Sales, and customers to plan, prioritise, and execute tasks efficiently, contributing to service targets and customer satisfaction.

Qualifications

• Diploma or equivalent qualification in Business Administration, Engineering, or a related discipline.
• Previous experience in service coordination, administration, order management, scheduling, or a similar role is an advantage.
• Good command of English, both written and spoken.
• Good working knowledge of Microsoft Office, particularly Excel and Outlook.
• Strong organisational and time-management skills, with the ability to manage multiple priorities.
• Good communication and coordination skills, with the ability to work effectively with different stakeholders.
• Detail-oriented, proactive, and comfortable working in a fast-paced environment.
• Able to work independently while collaborating closely with a wider team.

Responsibilities

• Place and process customer purchase orders in the relevant systems, ensuring accurate and timely order administration.
• Plan and manage the daily work schedules of Service Engineers, ensuring resources are effectively allocated.
• Monitor service reports and coordinate engineers' follow-up actions and leads to ensure timely closure.
• Prioritise and coordinate service jobs in close collaboration with Team Managers to ensure work is executed according to business and customer requirements.
• Support the preparation and processing of complex or non-standard quotations for Field Service activities, contributing to service and divisional targets.
• Monitor and maintain the service order backlog, ensuring timely follow-up and resolution of outstanding items.
• Follow up on credit queries and coordinate with relevant stakeholders to ensure timely resolution.
• Administer Performance Agreements in close collaboration with the Service Sales team.
• Monitor and maintain records related to special tools, certifications, vaccinations, and other requirements necessary for Service Engineers to perform their work.
• Provide general coordination and administrative support to ensure smooth day-to-day service operations.
