The Field Force Operations Specialist manages field force operational administration, data integrity, and ground execution. Working with employment services agencies and internal teams, this role oversees recruitment tracking, system onboarding, claims verification, agency SLA tracking, field force productivity, and field force budget reporting.
Maintain 100% accuracy across all field force master data, including headcount trackers, attendance logs, leave records, and people movement (new hires, resignations, and transfers).
Prepare and consolidate field force budget reports and track operational expenditures.
Compile and update regular performance dashboards, analyzing turnover rates and performance rankings.
Oversee and verify field force claims submissions to ensure accurate and timely processing.
Maintain weekly recruitment and hiring status reports to track open vacancies and candidate pipelines.
Facilitate a seamless onboarding process, ensuring Day 1 system setup (email creation, MCS ID) and alignment with the Training department for new hire orientation.
Manage offboarding, transfer documentation, and system access revocations within designated timelines.
Drive field retention through continuous touchpoints, huddles, grievance management, and performance recognition programs.
Coordinate team-building initiatives and annual dinner execution for the field team.
Support the design, launch, and tracking of tactical incentive campaigns aligned with sales targets.
Evaluate the effectiveness of current field force KPI structures quarterly and recommend adjustments.
Segment and stack-rank field force performance to maintain operational accountability.
Manage communications with employment services agencies (such as Retail Galaxy Plus and Calibre Event Solutions) and track their performance against agreed SLAs.
Conduct regular store visits and field audits to verify attendance, check planogram and POP display compliance, assess product lineup (RIS compliance), and check fixture maintenance.
Observe and evaluate promoter selling skills, product knowledge, and merchandiser visitation logs during field visits, reporting out-of-stock (OOS) issues immediately to the sales team.
Collaborate across internal departments (Sales, L&D, IT, Retail Operations) while upholding core corporate values.
Provide operational support for assigned special project committees and brand experience initiatives.
Assist in any ad hoc project.
Candidates must possess at least a Diploma or Bachelor's Degree in any field.
Minimum 2 to 4 years of working experience in Field Force Operations, Retail Administration, Trade Marketing, or Agency Management.
Strong proficiency in Microsoft Excel (data tracking, master list upkeep, budget reporting) and PowerPoint (dashboard presentations).
Fluent in English, Bahasa Malaysia, and Chinese to communicate effectively with internal teams, agency partners, and ground staff.
Exceptional ability to multitask in an operationally heavy environment while managing multiple administrative tasks, operational details, and tight deadlines simultaneously.
Strong, relentless follow-up skills to drive execution across internal teams, agencies, and ground personnel.
Excellent communication and presentation skills, strong organizational abilities, highly adaptable, and a reliable team player.
Willingness to travel locally for routine store visits and field compliance audits.
