We are looking for a proactive and hands-on Senior HR Executive to join our growing HR team and work closely with the HR Manager as a key support in managing day-to-day HR operations and initiatives.
Responsibility
HR Operations & Administration
- Manage and maintain accurate employee records and HR documentation.
- Assist in preparing HR letters, memos, confirmation letters, transfer letters and other HR-related documents.
- Monitor employee probation, confirmation and contract expiry dates.
- Maintain proper filing and ensure HR records are updated and organised.
- Assist in handling staff enquiries and provide support on HR-related matters.
- Assist in the development and implementation of HR policies, procedures and SOPs.
Attendance, Leave & Payroll Support
- Monitor and verify staff attendance, leave, lateness, absenteeism and overtime records through system.
- Review OT claims and compile attendance reports for payroll processing.
- Assist with monthly payroll preparation and ensure payroll information is accurate and complete.
Recruitment & Onboarding
- Support recruitment activities, including job postings, candidate screening, interview coordination and hiring documentation.
- Coordinate onboarding and ensure new employees complete the required documentation.
- Assist with manpower planning and monitoring of headcount and vacancies.
Employee Relations
- Assist in handling employee grievances, disciplinary matters and staff welfare issues.
- Maintain confidentiality when handling employee and HR matters.
- Work closely with outlet managers and supervisors on employee-related matters.
- Assist in organizing staff engagement activities, trainings, briefings, Annual dinner, team-building events as and when required.
General HR Admin & Support
- Assist Operation/Business Development team during new outlet openings.
- Assist in preparing documents for audits or government inspections.
- Any other ad-hoc tasks as assigned by HR Manager & Management.
Requirements
- Diploma/Degree in Human Resources, Business Admin, or related field.
- Minimum 2-3 years of experience in HR/Admin roles.
- F&B, retail, or multi-outlet operations experience strongly preferred.
- Strong interviewing, investigation, and documentation skills.
- Familiarity with Malaysian employment practices and statutory requirements.
- Experience using HRIS or payroll systems is an advantage.
- Familiar with Recruitment Portals (Jobstreet, AJobThing).
- Good understanding of HR operations, recruitment, attendance, leave and payroll processes.
- Strong proficiency in HR software systems and Microsoft Office applications (Word, Excel, PowerPoint).
- Excellent communication and interpersonal skills.
- Able to work independently and manage multiple tasks in a fast-paced environment with discretionary and maintaining confidentiality
- Willingness to travel between outlets as needed.
- Detail-oriented, organized, and trustworthy.
- Good command in English and Bahasa Malaysia.
