Job summary

Toll Group is seeking a detail-oriented Export Operations Assistant in Penang to support multinational shipments by ensuring accurate data processing and timely execution of export activities. You will create Quick Bookings in CargoWise, manage consolidation registrations, prepare Shipper's Instructions, respond to inquiries, and safeguard confidential information while collaborating across teams.

Proficiency in English and Mandarin and a proactive approach to learning new systems will help you

Qualifications

• Strong written and spoken English and Mandarin with good communication.
• Excellent attention to detail and accurate data entry.
• Proficient in Word, Excel and Outlook; quick to learn new systems.

Responsibilities

• Create and manage Quick Bookings in CargoWise.

Job description

You will play an important role in supporting our multinational export operations by ensuring the smooth, accurate and timely processing of export shipments within the dynamic and fast-paced world of international freight forwarding and shipping.

Key responsibilities:

• Accurately maintain and enter critical export shipment data in accordance with established Export Standard Operating Procedures, ensuring compliance and operational efficiency.
• Create and manage Quick Bookings in the CargoWise system based on booking confirmations to support the shipment initiation process.
• Manage consolidation registrations and prepare accurate Shipper's Instructions to facilitate seamless shipment handling.
• Respond promptly and accurately to operational enquiries while managing and retrieving relevant shipment documentation.
• Perform thorough quality checks on completed work to ensure accuracy and communicate effectively with internal and external stakeholders via email.
• Handle sensitive customer and company information with the highest level of confidentiality.
• Utilize written Mandarin proficiency to communicate effectively with business partners and stakeholders.

• Strong written and spoken communication skills in both English and Mandarin.
• Excellent attention to detail with the ability to perform accurate and efficient data entry.
• Proficient in Microsoft Office applications, including Word, Excel, and Outlook.
• Willingness and ability to learn new systems, including CargoWise.
