Crescendo-HELP International School in Johor Bahru is seeking an Exams Officer & Operations Executive to safeguard the integrity of IGCSE and A‑Level examinations while providing operational support across transport, catering and data protection. You will work with the Head of Operations and the secondary leadership team to ensure smooth, compliant exam delivery.

The Exams Officer & Operations Executive plays a vital role in ensuring the smooth running of IGCSE and A-Level examinations at school, safeguarding the integrity and fairness of the exams, while supporting students and staff throughout the process. In addition, the role provides key operational support in administrative areas (such as transport, catering, and data protection), helping the school run efficiently and in compliance with relevant regulations. The position is line managed by the Head of Operations. With regard to the practical management of the exams, the post holder works very closely with the Secondary leadership team.
Coordinate all aspects of internal and external examinations (IGCSE, A-Level, and school-based mock exams).
Manage online awarding body portals (e.g., CIE Direct, Edexcel Online) for candidate registrations, entries, and result downloads.
Manage the examination entry process, timetables, seating plans, invigilation schedules, and results dissemination.
Ensure full compliance with awarding body regulations (such as JCQ or international equivalents), including the secure handling, storage, and distribution of examination materials.
Act as the primary point of contact for awarding bodies and regulatory frameworks.
Recruit, train, and supervise invigilators to ensure professional standards are upheld.
Support access arrangements and special accommodations for students, working closely with SEN and pastoral staff.
Manage post-results services (enquiries about results, access to scripts, re-marks) and issue official examination certificates.
Provide accurate examination data and analysis to school leaders and Heads of Department.
The Exam office function is seasonal and there are times in the academic year when fulfilling the exams function is a priority and it can be a full-time role for days or weeks at a time. During peak examination periods (e.g., May/June and October/November series, as well as results release days), the post holder’s primary and exclusive focus will be on examinations management. During the ‘off season’ the post holder works as a member of the Operations Department and will be assigned a range of administrative tasks to support student learning, student activities, and effective operations of the school administration, such as transport, catering, and data protection. The specific tasks will be assigned by the Head of Operations following discussion and will be intended to be appropriate to the post holder’s previous experience, qualifications, and capabilities. Training and guidance will be provided as needed
Strong organisational and administrative skills with attention to detail.
Ability to manage multiple responsibilities and meet strict deadlines.
Excellent communication and interpersonal skills for working with staff, students, parents, and external providers.
High level of integrity and ability to maintain confidentiality.
High level of IT literacy, with advanced proficiency in Microsoft Excel, databases, and school Management Information Systems (MIS). Experience using secure online exam portals and digital seating/timetabling software is essential.
Previous experience in examinations administration within a school.
Familiarity with awarding body regulations.
Experience in staff management (e.g., invigilators).
Understanding of data protection and compliance frameworks.
Familiarity with GL assessments and data processing as a clear advantage.
