EA to Founder | Games Venture | Cayman Islands
Our client, a young entrepreneur pivoting into a new business venture in the games sector, is seeking an Executive Assistant to lead the establishment and ongoing support of the business. This is a business-first role (personal/PA support may be required on occasion but will be minimal) focused on building the operational, administrative and compliance foundations of a new company, and keeping the founder’s time and communications tightly managed as the business scales.
Duties will include:
- Communications and Follow-Through: act as a trusted communications partner to the founder. Monitor and triage email, Slack, Discord and other communications; arrange calls; communicate professionally on the founder’s behalf; and handle routine correspondence within agreed boundaries. Chase responses, coordinate next steps and follow matters through to completion. Learn what requires the founder’s decision and what can be resolved independently, bringing clear summaries and specific questions rather than forwarding routine matters back to the founder.
- Executive Support: prioritise, organise and help execute time-sensitive tasks on the founder’s behalf.
- Office Management: oversee day-to-day office administration and ensure the office is well stocked.
- Documentation: prepare, organise and maintain business paperwork, including sales documents and other operational records.
- CTO Support: provide coordination support to the CTO.
- Freelancer Management: source, brief and manage freelancers supporting the business, tracking deliverables and deadlines.
- Contractor Management: manage contractor relationships and payment timelines, ensuring accurate and timely invoicing and processing.
- Vendor Management: manage relationships with external service providers.
- Compliance: support KYC checks and ensure the business meets applicable compliance requirements.
- Company Awareness: remain closely engaged with the company’s activities and the work of the wider team so that communications and follow-up are properly informed.
- AI Workflows: use AI tools and workflows to improve efficiency across the business.
Ability to support the founder effectively when working remotely, including during extended periods in Canada or travel elsewhere, while the wider team continues to operate. The role also requires flexibility to work unsocial hours and overtime, and to travel when required (Canada, US and Europe).
Qualifications:
- Games industry knowledge: required. Candidates preferably have worked in a game studio or related business, be familiar with how studios use contractors and freelancers, or demonstrate a credible understanding of the sector and how it operates.
- Experience: some prior experience supporting a founder, small business or start-up team is helpful but not essential. We welcome candidates early in their careers who are eager to learn and grow with the business. Training will be given on the company’s processes, including compliance and contractor management.
- Skills: highly tech-savvy and confident adopting AI tools and workflows; excellent written and spoken communication; strong organisational skills; comfortable managing multiple priorities with minimal supervision.
- Additional Advantage: familiarity with business social-media platforms and current digital trends would be helpful, but social-media management and content creation are not requirements of the role.
- Personal Attributes: proactive, discreet, trustworthy, dynamic and hands-on; sound judgement, confidence and the ability to take appropriate ownership of routine matters.
Salary: TBC – to be confirmed based on candidate experience and final scope.
