About the Role
We are looking for a Document Controller to join our engineering consultancy team. You will be responsible for managing project documentation, ensuring proper document control, revision tracking, timely submissions, and accurate record keeping across multiple projects.
The ideal candidate is organised, detail-oriented, and comfortable working closely with engineers, project teams, clients, and other stakeholders.
Key Responsibilities
- Maintain accurate master document registers and records of incoming and outgoing documents, drawings, reports, transmittals, and correspondence.
- Check document numbers, titles, revisions, filenames, title blocks, recipients, and attachments before each submission or issuance.
- Issue documents through email, client systems, and project portals, while maintaining clear submission and receipt records.
- Register and distribute incoming documents promptly and notify the relevant project team of required actions and deadlines.
- Follow up with engineers, reviewers, and project teams on pending reviews, comments, approvals, and submissions.
- Prepare document status reports and dashboards for project and management review.
- Maintain proper revision control, archive superseded documents, and ensure the latest approved versions are easily accessible.
- Support documentation requirements for tenders, authority submissions, construction, as-built documentation, and project close-out.
- Maintain organised project filing systems and ensure documents are properly stored and retrievable.
- Continuously improve document-control templates, registers, filing systems, and workflows.
- Perform other relevant duties as assigned.
Requirements
- Diploma or Bachelor's Degree in Document Management, Business Administration, Engineering, or a related field.
- At least 2 years of experience in document control is preferred.
- Experience in engineering consultancy, EPC, construction, infrastructure, or related industries is an advantage.
- Familiarity with technical drawings, reports, transmittals, correspondence, and revision-controlled documents.
- Proficient in Microsoft Excel, Word, Outlook, and PDF document management tools.
- Experience with Electronic Document Management Systems (EDMS) or client/project platforms is an advantage.
- Strong attention to detail with the ability to review documents carefully before submission.
- Good organisational, communication, coordination, and time management skills.
- Able to manage multiple projects, prioritise tasks, and follow up with different stakeholders professionally.
- Experience in power infrastructure, solar PV, BESS, or renewable energy projects is an added advantage.
