Job summary

Arkema Coating Resins Malaysia Sdn. Bhd. is hiring a Customer Service Executive or Senior Customer Service Executive in Pasir Gudang.

You will manage customer orders, prepare documentation, coordinate logistics, assist with credit facilities, and support sales with timely communication and accurate reporting. The role requires 3 years in manufacturing, knowledge of MPS, LC, and stock planning, plus strong interpersonal and communication skills.

Qualifications

• Minimum SPM or Diploma holder with 3 years in manufacturing and knowledge of MPS, shipping, LC, and stock planning.
• Committed and good team leader
• Knowledge of MPS, logistics facilities and trade exemption
• Analytical mindset for task improvement
• Good interpersonal, written and verbal communication skills
• Proficient in Microsoft Office
• Familiar with ISO 9001, ISO 14001 and OHSAS 18001
• Willing to work in Pasir Gudang and immediate availability

Responsibilities

• Manage customer orders and execute within lead time, updating delivery date with terms.
• Prepare documentation for customers and financial institutions.
• Select and coordinate third-party logistics for export and local transport.
• Assist with credit facilities and collections in collaboration with Sales.
• Update monthly commission reports.
• Maintain ongoing contact with customers and pre-alert Sales for needs.
• Process customer complaints with inter-department follow-up.
• Handle customer inquiries and route to the correct person.
• Process sample requisition forms and confirm dispatch mode.
• Issue debit/credit notes, quotations in absence of Sales staff, and perform admin duties.
• Ensure reports and tracking are maintained.
• Adhere to health and safety policies and participate in loss control.

Customer Service Executive or Senior Customer Service Executive

1) Managed customer order received, execute within the lead time by updating to customer on delivery date based on agreed price and term.

2) Prepare related documentation to customer and financial institution.

3) Manage and select competitive 3rd party logistic provider for booking of export & local transportation.

4) Prepare for credit facilities, as well as co-responsible with sales department for collection of payment.

5) Update commission report on monthly basis.

6) Maintain good contact with customer at all times in relation to their needs for our products and pre-alert to sales department if abnormal requirement.

7) Process respective customer’s complaints by follow up with inter-dept within time frame.

8) Process respective customer’s enquiries to relevant person in charge.

9) Receive Sample Requisition Form notice via fax or e-mail directly from the following person:

i. Customer

iii. Technical Personnel

v Assist to fill up the form only for exceptional case.

v Upon received the Sample Requisition Form from Technical dept with sample ready, confirm the mode of dispatch. Assist to fill up the form only for exceptional case.

10) Issue Debit/Credit Requisition, Quotation in the absent of Sales personnel , Sales Contract, GRASS Form and perform general administration relating to customer service

11) Ensure related report and tracking well maintain.

12) Take reasonable care for health and safety of himself and of other persons, to cooperate with superior, to wear or use personal protective equipment provided as appropriate and to comply health and safety instruction as stipulated under Section 24 OSHA 1994 and undertake the following loss control responsibilities;

1) Identify the potential hazards, gains and the possible improvement

2) Report the HSEQ near-misses, unsafe acts, and unsafe conditions to superior or HSE personnel.

3) Report the HSEQ incident, accidents to superior or HSE personnel.

4) Compliant with the policies, legal regulations, Arkema requirements, rules and procedures of one's sector applying to HSEQ.

Qualifications & Skills

1) Minimum SPM or Diploma Holder (Business Administration) with 3 years working experience in manufacturing with knowledge of MPS (Master Production Scheduling), shipping procedure, Letter of Credit and stock planning, trade exemption.

2) Committed and good team leader

3) Good knowledge in concept of MPS (Master Production Scheduling), logistic facilities as well as trade exemption.

4) Possess on analytical skill and positive mindset for improvement on specific task assigned.

5) Good interpersonal skills with a pleasant personality.

6) Good communications (written, verbal & presentation) and listening skill.

7) Good knowledge in Microsoft office.

8) Basic Knowledge of ISO 9001, ISO 14001 and OHSAS 18001.

9) Willing to work in Pasir Gudang and immediate availability
