Job summary

HONOUR LANE SHIPPING is seeking a Customer Service Coordinator in Petaling Jaya, Selangor to manage day-to-day shipments and act as the main contact between clients and internal teams. You will report to the Singapore Operation Manager and support the freight forwarding process from booking to delivery.

The role requires import/export experience and strong communication skills to handle inquiries, prepare quotations, and maintain schedules with accuracy and regulatory compliance.

Qualifications

• Import/Export experience in freight forwarding is mandatory.
• Ability to work in a fast-paced, deadline-driven office environment.
• Knowledge of Import/Export regulations and documents.
• Proficient in Microsoft Office Applications.

Responsibilities

• Focal point to coordinate day-to-day activities between stakeholders to achieve smooth transactions and build relationships.
• Handling local & overseas inquiries, addressing concerns and offering solutions.
• Set up customer database, process bookings and execute orders.
• Manage shipping documentation (import/export) to ensure accuracy and compliance.
• Maintain tracking status accuracy and schedules for all jobs.
• Maintain internal/external KPIs and SOPs to meet customer requirements.
• Prepare quotations, manage bookings and communicate with foreign agents.
• Serve as backup to internal support group.
• Any other ad-hoc functions mandated by Management.

We are seeking a Customer Service Coordinator on a full-time basis in Petaling Jaya, Selangor. This role is required to handle shipments embark/disembark from/to Singapore Ports and will directly report to Singapore Operation Manager. This position is essential to our operations in the freight forwarding industry, where you will serve as a key point of contact between our clients and internal teams.

Key responsibilities

• Focal point to coordinate for day-to-day activities between stakeholders to achieve smooth transactions and build excellent working relationships
• Handling local & overseas as well as internal and external customer enquiries, addressing concerns and offer solutions
• Set up customer database, process bookings and executes pertinent orders
• Manage shipping documentation (import/export) formalities efficiently to ensure absolute accuracy and compliance of procedures
• Responsible for maintaining timely tracking status accuracy and schedules for all jobs
• Maintaining internal/external KPIs and SOPs to meet customer requirements
• Prepare quotations, make & manage booking and communication with foreign agents
• Serve as backup to internal support group
• Any other ad-hoc additional functions mandated by Management

What we're looking for

• Import/Export experience in freight forwarding is mandatory, experience in US trade is preferable
• Ability to work in a fast-paced and deadline-driven office environment
• Knowledge of Import/Export regulations and documents
• Knowledge to make booking with liners & liaise closely with foreign agents on the booking
• Ability to multi-task, prioritize, and manage time effectively
• Excellent verbal & written communication skills & customer service and follow up skills
• Coordinate with overseas and local branch for operation and rate issues
• Proficient in Microsoft Office Applications
