Job summary

ACE MARINE SHIPPING SDN. BHD. is seeking a shipping coordinator in Johor Bahru. You will coordinate shipments, communicate with customers about requirements, and ensure timely assistance for enquiries.

You will prepare shipping documentation, monitor progress, and liaise with internal teams, customers, transporters and overseas agents to ensure smooth operations in a fast-paced environment.

Qualifications

• 1–2 years of experience in freight forwarding, shipping, logistics or customer service.
• Proficient communicator in English and Bahasa Malaysia.
• Mandarin/Chinese language skills are a plus.

Responsibilities

• Communicate with customers to understand shipment requirements and provide timely assistance.
• Coordinate opening and maintenance of job files with proper shipping documents.
• Prepare shipping instructions, delivery orders and documentation for cargo movement.
• Monitor shipment progress and update customers on vessel departure, status and ETA.
• Prepare and distribute pre-alerts to customers, agents and overseas counterparts.
• Follow up on delivery orders and ensure documents are checked and filed.
• Review files to ensure charges are recorded accurately in the system.
• Prepare and issue customer invoices with proper supporting documents.
• Liaise with internal teams, customers, transporters and overseas agents for smooth coordination.

This role involves coordinating and managing shipments, communicating with customers about their shipping requirements, and ensuring timely assistance for shipment-related enquiries. You will prepare shipping documentation, monitor shipment progress, and liaise with internal departments, customers, transporters, and overseas agents to ensure smooth and efficient shipment coordination.

Key responsibilities

Communicate with customers to understand their shipment requirements and provide timely assistance for any shipment-related enquiries

Coordinate the opening and maintenance of job files, ensuring all required shipping and supporting documents are properly prepared and organized

Prepare shipping instructions, delivery orders, and other necessary documentation for cargo movements to warehouses, ports, or other designated locations

Monitor shipment progress and keep customers updated on vessel departure, cargo on-board status, and estimated time of arrival (ETA)

Prepare and distribute pre-alerts to customers, agents, and overseas counterparts for assigned shipments

Follow up on delivery orders and ensure documents returned by company drivers or third-party transporters are properly checked, recorded, and filed

Review job files and shipment details to ensure all applicable charges and costs are accurately recorded in the system

Prepare and issue customer invoices accurately and within the required timeline, ensuring proper supporting documents are attached

Liaise closely with internal departments, customers, transporters, and overseas agents to ensure smooth and efficient shipment coordination

About you

Preferably 1-2 years of experience in freight forwarding, shipping, logistics, or customer service

Good command of written and spoken English and Bahasa Malaysia

Ability to communicate in Mandarin or Chinese will be an added advantage

Good communication and interpersonal skills with a customer-oriented attitude

Well-organized, detail-oriented, and able to handle multiple tasks with accuracy

Responsible, proactive, and willing to learn

Able to work independently as well as within a team in a fast-paced working environment
