Job summary

Guna Trading Sdn Bhd is seeking a seasoned Construction Contract Administrator to manage the full contract lifecycle from pre-contract to close-out. You will review tenders, prepare main/subcontract documents, and handle variations, claims, and EOTs while safeguarding the company’s commercial interests.

The role requires strong knowledge of Malaysian contract forms (PAM/JKR/CIDB), excellent negotiation and leadership abilities, and the capacity to oversee a QS team across multiple projects.

Qualifications

  • Degree/Diploma in Quantity Surveying, Construction Management, Building or related field.
  • Preferably 5–10 years of relevant experience in construction contract management.
  • Experience with main contractor, building, industrial or factory construction projects is preferred.
  • Strong knowledge of contract administration, cost management, VO, claims, EOT and final accounts.
  • Familiar with Malaysian construction contracts such as PAM, JKR, CIDB or other relevant forms of contract.
  • Strong negotiation, analytical, communication and problem-solving skills.
  • Able to manage multiple projects and contractual matters independently.
  • Good leadership skills with experience managing or supervising QS/commercial teams.
  • Proficiency in Microsoft Office and relevant QS/commercial software.

Responsibilities

  • Manage the full spectrum of contract administration for construction projects from pre-contract to post-contract stage.
  • Review tender documents, contracts, specifications, drawings, Bills of Quantities (BQ) and contractual requirements.
  • Prepare, review and negotiate main contracts, subcontract agreements, letters of award and other contractual documents.
  • Manage variation orders (VO), claims, extension of time (EOT), loss & expense claims and other contractual matters.
  • Monitor project costs, contractual obligations and commercial risks to protect the Company’s interests.
  • Review and verify subcontractor progress claims, variation claims and final accounts.
  • Prepare and submit progress claims, contractual claims and supporting documentation to clients/consultants.
  • Coordinate with Project Managers, Quantity Surveyors, consultants, clients, subcontractors and suppliers on commercial and contractual matters.
  • Identify potential contractual risks, disputes or cost implications and recommend suitable solutions.
  • Ensure all contractual notices, correspondence and submissions are issued within the required contractual timelines.
  • Lead negotiations with clients, consultants and subcontractors regarding claims, variations and contract conditions.
  • Monitor project budget, cash flow, committed costs and overall commercial performance.
  • Oversee and guide the QS team in contract administration, cost control and documentation.
  • Manage project final accounts and ensure timely settlement and contract closure.
  • Maintain proper records of contracts, claims, correspondence, variations and supporting documents.
  • Ensure compliance with Company procedures, contract requirements and applicable construction regulations.
  • Provide regular contractual and commercial reports to Management.
