Job summary

VMG Interior Fit Out Sdn. Bhd. is seeking a Contract Executive - ID to join our team in Kota Damansara, Selangor. This full-time role focuses on administering construction contracts, ensuring compliance, and coordinating with clients, subcontractors, and suppliers.

The ideal candidate has 2–3 years of contracts management experience, strong drafting and negotiation skills, and proficiency in MS Office. Diploma or degree in Construction Management or Law is preferred.

Qualifications

• I2–3 years of experience in contracts management or administration (construction/fit-out).
• Strong knowledge of construction contracts and standard forms.
• Proficiency in contract drafting, negotiation and administration.
• Excellent organisational and communication skills.
• Proficiency in Microsoft Office (Word, Excel, Outlook).
• Knowledge of Malaysian construction standards and practices.
• Diploma or degree in a related field preferred.

Responsibilities

• Administering and managing construction contracts from inception to completion.
• Monitor contract performance and ensure compliance with obligations.
• Prepare and maintain contract documentation, schedules, variations, amendments.
• Manage variations and change orders, assess financial/scheduling impacts.
• Liaise with clients, subcontractors, suppliers to resolve disputes.
• Process invoices, certificates of payment, and claims as per contract.
• Maintain contract records and easy retrieval of docs.
• Identify contractual risks and ensure regulatory compliance.
• Prepare progress reports and contract schedules for stakeholders.

About the role

VMG Interior Fit Out Sdn. Bhd. is seeking a Contract Executive - ID to join our dynamic team on a full-time basis in Kota Damansara, Selangor. This is a pivotal position within our Contracts Management function, responsible for overseeing and administering construction contracts whilst ensuring compliance, managing timelines, and maintaining strong relationships with all project stakeholders. As a Contract Executive, you will play a crucial role in safeguarding the company's interests and driving project success through effective contract management and coordination.

Key responsibilities

• Administering and managing construction contracts from inception through to completion, including drafting, reviewing, and negotiating contract terms and conditions
• Monitoring contract performance and ensuring all parties comply with contractual obligations and specifications
• Preparing and maintaining comprehensive contract documentation, including schedules, variations, and amendments
• Managing contract variations and change orders, assessing financial and scheduling impacts on projects
• Liaising between the company, clients, subcontractors, and suppliers to resolve contractual disputes and issues
• Processing invoices, certificates of payment, and claims in accordance with contract requirements
• Maintaining detailed contract records and ensuring all documentation is accurately filed and easily retrievable
• Identifying and mitigating contractual risks and ensuring adherence to legal and regulatory requirements
• Preparing progress reports, contract schedules, and other documentation for project stakeholders
• Supporting project teams with contract-related queries and providing guidance on contractual matters

What we are looking for

• Minimum 2-3 years of experience in contracts management or contract administration within the construction or interior fit-out industry
• Strong knowledge of construction contracts, standard contract forms, and contractual obligations
• Proficiency in contract drafting, negotiation, and administration
• Excellent organisational and time management skills, with the ability to manage multiple contracts simultaneously
• Strong communication and interpersonal skills to effectively liaise with various stakeholders
• Attention to detail with the ability to identify discrepancies and potential risks
• Proficiency in Microsoft Office applications (Word, Excel, and Outlook)
• Knowledge of Malaysian construction industry standards and practices
• Diploma or degree in Construction Management, Law, or a related field is preferred
• Familiarity with contract management software is an advantage
