A leading firm in Malaysia is seeking a Compensation & Benefits, and Administration Manager to oversee payroll processing, compliance with statutory requirements, and benefits administration. The role involves leading a team, ensuring timely salary disbursement, and managing employee insurance claims. Candidates need substantial experience in payroll and HR operations, with strong leadership qualities. This position requires compliance with Malaysian regulations and effective communication with stakeholders.
Lead full-cycle monthly payroll processing for all employees, including fixed pay, allowances, overtime, incentives, and deductions.
Validate payroll inputs and approvals for new hires, transfers, promotions, and terminations.
Review payroll calculations, reconciliation, and variance reports prior to submission.
Ensure timely payroll closure and salary disbursement.
Ensure compliance with Malaysian statutory requirements (EPF, SOCSO, EIS, PCB, HRDF & PTPTN).
Oversee statutory submissions, reporting, payments, and documentation.
Prepare audit documentation, payroll records, and statutory reports.
Stay updated with regulatory changes and ensure internal compliance.
Administer employee insurance, medical benefits, claims, and allowances.
Manage renewals, policy updates, and claims coordination with insurance providers.
Handle employee queries related to benefits and eligibility.
Track costs and usage to support budgeting and renewal decisions.
Maintain accurate employee payroll records, databases, and documentation.
Prepare monthly payroll reports, costing, and headcount data for management and finance.
Support annual processes including EA forms, bonus updates, and annual pay changes.
Responsible for expatriates’ employment pass application, renewal, and cancellation.
Oversee office administration including supplies, vendor management, and procurement.
Manage service contracts, vendor evaluations, and cost control initiatives.
Ensure a safe, efficient, and compliant workplace environment.
Support office relocation, renovation, and space planning when required.
Lead and supervise payroll and admin team members, ensuring accuracy, compliance, and timely delivery.
Coordinate with HR, Finance, and department heads for data inputs, approvals, and reporting needs.
Provide guidance, training, and performance feedback to team members.
Lead or support payroll system enhancements, upgrades, and user acceptance testing.
Review and improve SOPs, workflows, and controls to enhance efficiency.
Identify opportunities for automation and digitization of manual processes.
